Our client's national law firm is seeking a Client & Conference Services Coordinator to join their team in Providence, RI!
Responsibilities
- Coordinate and execute client meetings, events in partnership with Office Services and Conference Center teams, ensuring alignment with firm standards
- Provide on-site support for meetings and events, including evenings and weekends as needed; serve as primary point of contact during large events
- Prepare and inspect meeting spaces, ensuring all logistics (AV, catering, room setup) meet expectations and client requirements
- Maintain accurate event records, reports, and floorplans using internal systems (e.g., Accruent)
- Participate in weekly planning meetings to review upcoming events and address logistics
- Serve as backup for Conference Center Specialists, including reception coverage, scheduling, answering inquiries, and troubleshooting room issues
- Deliver a professional, welcoming experience for all visitors; act as primary contact for guests and visiting personnel
- Build and maintain strong relationships with internal teams, clients, and vendors to ensure high service standards
- Apply thorough knowledge of firm operations and personnel to respond to inquiries and resolve issues efficiently
- Monitor and maintain Conference Center spaces to ensure cleanliness, organization, and readiness throughout the day
- Provide first-level troubleshooting and support for conference room technology, coordinating with IT as needed
Qualifications
- Strong organizational and multitasking skills with the ability to manage multiple events and priorities simultaneously
- Excellent communication and interpersonal skills with a client-service mindset
- Ability to remain composed and problem-solve in fast-paced, high-pressure environments
- Professional demeanor with strong attention to detail and presentation standards
- Experience coordinating meetings, events, or conference services preferred
- Proficiency with scheduling or event management systems (e.g., Accruent or similar tools)
- Basic knowledge of conference room technology and AV support
- Flexibility to work occasional evenings and weekends as required

Salary : $22 - $30
