Our client is a mission-driven organization seeking a polished and highly dependable Sr. Administrative Assistant to serve as a trusted extension of the Executive Director. This is a key support role for someone who can operate with professionalism, discretion, and sound judgment while helping keep leadership and organizational priorities moving forward.
Role Overview
The Sr. Administrative Assistant will act as a central point of contact for internal staff, external partners, funders, and Board members. This role requires more than strong administrative skills—it calls for someone proactive, resourceful, and business-minded who can anticipate needs, manage competing priorities, and represent the Executive Director and organization with confidence.
Key Responsibilities
- Manage and prioritize the Executive Director’s calendar based on organizational needs
- Coordinate internal and external meetings, including agendas, logistics, materials, and follow-up items
- Screen and triage calls, emails, and correspondence, drafting responses as appropriate
- Ensure the Executive Director is well-prepared for meetings, events, and day-to-day commitments
- Coordinate Board of Directors meetings, including scheduling, materials, minutes, and recordkeeping
- Attend leadership meetings, capture notes, and track action items through completion
- Support ED-driven activities such as interviews, trainings, expense reports, and communications
- Draft, edit, and proofread internal and external communications with a high level of accuracy
- Serve as a communication bridge across leadership, staff, and external stakeholders
- Maintain organized digital filing systems, documentation, and other administrative records
- Assist with recruiting, onboarding, special projects, and additional administrative support as needed
Ideal Background
- 3–5 years of experience supporting senior leadership in an executive assistant, administrative, or office management capacity
- Bachelor’s degree preferred, or equivalent professional experience
- Exceptional written and verbal communication skills
- Strong Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook
- Experience with Zoom, Teams, or similar platforms
- Proven ability to handle confidential information with discretion
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Nonprofit or mission-driven organization experience preferred
- Familiarity with LinkedIn, Facebook, and Instagram is a plus
- Polished, professional presence with strong judgment, emotional intelligence, and a proactive work style
