Responsibilities
- Facilitate scheduling, coordinate travel plans, and organize logistics for program activities, outreach events, and meetings.
- Prepare and process administrative documents such as travel authorizations, requisitions, and personnel requests with accuracy.
- Serve as Timekeeper, tracking hours and maintaining compliance with relevant policies for assigned staff.
- Gather and review documents to ensure they are complete and accurate for processing.
- Manage and respond to emails, calendar appointments, and scheduling requests for the Executive Director and team.
- Record meeting minutes and update project timelines to monitor progress and deadlines.
- Arrange event logistics for outreach and program launch activities.
- Oversee documents requiring approval and signature endorsements from leadership.
- Assist in coordinating special projects and office events to support team initiatives.
- Collaborate with other administrative staff to optimize workflow and task delegation.
- Proven ability to manage complex schedules and logistics efficiently.
- Strong familiarity with office management practices and maintaining detailed records.
- Knowledge of travel, procurement, and fiscal policies.
- Excellent written and verbal communication skills.
- Adept at using desktop and enterprise applications including MS Word, MS Excel, Google Suite, and communication tools such as email and Slack.
- Demonstrated organizational and time-management skills.
- Education: High school diploma or equivalent required; associate or bachelor’s degree preferred.
