Key Responsibilities Include
- Managing calendars and scheduling meetings with senior team members, coordinating efficiently with executive assistants.
- Drafting and editing policy documents, internal memos, and client communications using Word.
- Analyzing extensive data sets in Excel, utilizing functions like V-lookup and pivot tables to identify discrepancies and update information.
- Converting images and PDF files into searchable digital formats for streamlined access.
- Organizing and maintaining electronic client files and annotating relevant client guidelines.
- Assisting with compliance checklist reviews, creating electronic folders, following up on outstanding items, and escalating issues when necessary.
- Supporting the Trading Compliance Group in preparing materials for client certifications and reviewing trade surveillance reports to identify and escalate exceptions for review.
- Proven expertise working with large, complex Word documents, including formatting, footnotes, and hyperlinks for detailed Table of Contents.
- Strong proficiency in Excel, especially with large datasets, formulas, and data comparison tools.
- Excellent organizational skills with a keen eye for detail.
- Effective communication skills, both written and verbal, with the ability to prioritize tasks and meet strict deadlines.
- Ability to work independently with minimal supervision.
- Previous experience supporting compliance or audit teams within the financial services sector.
- Familiarity with Lotus Notes and Nuance Power PDF Advanced software is a plus.
- Prior experience working in a fast-paced office environment.
