SUMMARY
The Operations Analyst & Safety Coordinator is a dual-function role within the Operations Department, providing direct administrative, analytical, and coordination support to the Chief Operations Officer across two complementary areas: Project Management / Business Analysis and Safety Process Management. This role requires a proactive, detail-oriented professional with strong analytical, communication, and organizational skills who is committed to mission-driven service and Brookwood's values.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Track A — Project Management & Business Analysis Support
- Maintain project tracking logs, milestone schedules, and action item registers for COO-led initiatives, including capital projects and enterprise programs.
- Coordinate project communications between the COO, internal departments, contractors, and consultants; prepare agendas, record minutes, and follow up on deliverables.
- Assemble and maintain project documentation — contracts, proposals, vendor correspondence, and approval records — within the Knowledge Management System (SharePoint/OneDrive).
- Monitor timelines; proactively flag scheduling conflicts, pending approvals, or risk items to the COO.
- Analyze operational requirements; translate findings into clear project plans, data summaries, and decision-support materials for leadership.
- Conduct data analysis to support resource allocation, performance measurement, and operational decision-making.
- Facilitate coordination meetings between IT, enterprise divisions, and business teams; ensure accurate documentation and follow-through.
- Support COO contract administration; maintain a centralized contract register tracking vendor and consultant agreements, including expiration dates, renewal options, and insurance requirements. Flag upcoming renewals and assist in reviewing drafts for conformance with the Delegation of Authority policy (GOV-001).
Track B — Safety Process Management Support
- Maintain records and documentation for campus safety programs, including incident reports, inspection checklists, corrective action tracking, and Safety Committee materials.
- Coordinate safety training, compliance audits, and regulatory inspections; track completion status and maintain training records for all operational staff.
- Support development and distribution of safety SOPs, emergency response protocols, and policy documents under the direction of the COO/CSO.
- Monitor regulatory compliance deadlines, permit renewals, and agency correspondence; escalate critical items to the COO.
- Conduct scheduled and unannounced safety inspections across campus; document findings, assign corrective actions, and verify timely closure.
- Plan and execute formal safety audits of campus operations, enterprise divisions, and residential areas; prepare written audit reports with findings, risk ratings, and corrective recommendations.
- Perform structured risk assessments for campus activities, capital projects, and facilities changes; maintain and update the campus Safety Risk Register.
- Educate staff and community members on safety practices, policies, and emergency procedures; support onboarding safety coordination.
- Lead formal incident investigations for workplace injuries, near-misses, and property damage events; produce written Incident Investigation Reports and ensure OSHA recordkeeping compliance (300/300A/301 logs).
- Apply Root Cause Analysis (RCA) methodologies — including 5-Why, fishbone/Ishikawa, and fault tree analysis — to identify contributing factors and develop corrective and preventive action (CAPA) recommendations. Present RCA summaries to the Safety Committee and COO.
- Plan and document After Action Reviews (AAR) following significant safety incidents, emergency activations, drills, and major operational events. Maintain an AAR archive in the Knowledge Management System.
SUPERVISORY RESPONSIBILITIES
No direct supervisory authority. May provide work direction to administrative staff and volunteers on a project basis as delegated by the COO.
QUALIFICATIONS
Education and Experience
- Bachelor's degree in Business Administration, Project Management, Occupational Health & Safety, or related field; equivalent experience considered.
- Minimum 3–5 years of progressive experience in project coordination, business analysis, safety coordination, or a related operations role.
- Experience in a nonprofit, healthcare, educational, or campus-based environment preferred.
Knowledge and Skills
- Proficiency in Microsoft 365 (SharePoint, OneDrive, Teams, Word, Excel, PowerPoint).
- Familiarity with project management tools (Smartsheet, Microsoft Planner, Asana, or similar).
- Working knowledge of OSHA standards, workplace safety regulations, and safety documentation practices.
- Strong analytical and problem-solving skills; ability to synthesize data and produce clear, actionable recommendations.
- Excellent written and verbal communication skills; able to interface effectively with leadership, managers, contractors, and regulatory personnel.
Preferred Certifications
- CAPM, PMP, or equivalent project management certification.
- OSHA 10 or OSHA 30 General Industry certification.
- Associate Safety Professional (ASP) or Certified Safety Professional (CSP) a plus.

PHYSICAL DEMANDS
Work is performed in both office and field settings across a 485-acre residential and vocational campus. The incumbent must be able to sit, stand, walk, and move throughout campus for extended periods; occasionally lift up to 25 pounds; and navigate uneven terrain during safety inspections. Standard Monday–Friday schedule; occasional evenings or weekends may be required for audits, training, or project deadlines.
WORK ENVIRONMENT
A combination of standard office work and campus-wide field environments. Regular computer use, telephone communication, and collaboration with internal teams characterize office work. Field work includes safety inspections, walkthroughs, and audits across Brookwood's residential, vocational, and enterprise facilities.
