Role Overview
Our client, a leader in the Utilities industry, is seeking a PMO Operations Analyst to support a large-scale, enterprise-level transformation program. This role will partner closely with PMO leadership to provide visibility into program execution, resource management, financial tracking, contracts, and dependencies.
This position is ideal for a professional who thrives in a fast-paced, high-visibility environment, enjoys managing multiple priorities, and is comfortable working across teams and vendors.
Key Responsibilities
Program Execution & Reporting
- Support weekly and monthly program status meetings.
- Prepare and maintain execution metrics, dashboards, and reports.
- Provide accurate visibility into overall program health, including schedule, cost, and resources.
PMO Operations & Coordination
- Support resource management, including onboarding and offboarding activities.
- Coordinate access, tools, laptops, and system permissions.
- Ensure accuracy of start/end dates, billability, and forecasting data.
Contract & Procurement Support
- Assist with administration of Statements of Work (SOWs), change orders, and invoicing.
- Review and validate contract language (no rate or term negotiation).
- Partner with procurement and external vendors to ensure timely processing
Dependency Management
- Identify and help manage dependencies across multiple projects and workstreams.
- Proactively flag potential conflicts and coordinate with SMEs to resolve issues.
- Support alignment of timelines across initiatives
Communication & Executive Support
- Develop and update executive-level presentations and materials.
- Support and facilitate large meetings, town halls, and leadership sessions.
- Communicate complex information clearly and concisely.
Ad Hoc PMO Support
- Provide ongoing support to PMO leadership as program priorities evolve.
- Assist with process improvements, new metrics, and reporting needs.
Required Qualifications
- 7–10 years of experience in PMO, Program Operations, or IT Program Support roles.
- Experience supporting large-scale, enterprise programs.
- Advanced Excel skills (large spreadsheets, filters, pivots).
- Experience using Jira or similar project tracking tools.
- Exposure to contract and procurement support processes.
- Strong written and verbal communication skills.
- High attention to detail with the ability to manage multiple priorities.
Preferred
- Experience in Utilities, Energy, Oil & Gas, or other asset-intensive industries.
- Exposure to ERP implementations (SAP, Oracle, Workday, PeopleSoft, etc.).
- Experience with tools such as PowerBI, MS Project, SharePoint.
- Experience working with multiple vendors or consulting partners.
