Recruiting Coordinator

Location: Hybrid – Oakland, CA
Pay Rate: $29/hr
Duration: Through 12/31/2026

About the Role

We’re seeking a highly organized and customer-focused Recruiting Coordinator to support a fast-paced Talent Acquisition team. This role will focus heavily on candidate scheduling, offer coordination, ATS management, onboarding support, and recruiter partnership while ensuring a smooth and professional candidate experience throughout the hiring lifecycle.

Key Responsibilities

• Manage the full candidate offer process including background checks, drug screens, offer approvals, SAP entry, and candidate communication
• Partner closely with Recruiters and Hiring Managers to ensure smooth execution of the hiring process
• Serve as the primary scheduling contact for candidates and internal stakeholders
• Coordinate candidate travel arrangements and communications as needed
• Maintain and audit the Applicant Tracking System (ATS) to ensure compliance and accurate candidate tracking
• Support onboarding activities by creating new hire documentation and ensuring timely completion of required paperwork
• Generate recruiting and hiring reports from the ATS system
• Respond promptly and professionally to candidate and internal customer inquiries
• Prioritize multiple administrative and coordination tasks in a fast-paced environment
• Maintain confidentiality while handling sensitive recruiting and employee information

Required Qualifications

• High school diploma required
• 3 years of administrative experience
• 2 years of Recruiting Coordinator experience
• 2 years of experience managing and reporting within a web-based ATS system
• Strong organizational, communication, and customer service skills
• Experience with Microsoft Office, including intermediate Excel skills and large spreadsheet management
• Experience with SAP e-Recruiting ATS and knowledge of the recruiting lifecycle is highly preferred
• Experience coordinating background checks and working with background check vendors is a plus
