Front Office & Client Interaction
- Greet and assist walk-in clients in a professional and friendly manner
- Answer and direct incoming phone calls promptly and accurately
- Respond to general inquiries or route complex questions to appropriate team members
- Maintain a clean, organized, and welcoming reception area
Administrative Support
- Process incoming and outgoing mail, packages, and deliveries
- Scan, upload, and organize documents into the agency management system
- Assist with data entry, filing, and recordkeeping
- Support producers and account managers with administrative tasks
- Policy & Insurance Support Functions
- Provide support in accounting processes within office
Policy & Insurance Support Functions
- Assist clients with simple requests such as payment information, contact updates, and document retrieval
- Forward claims notices and service requests to appropriate team members promptly
- Help ensure timely follow-up on client inquiries
Scheduling & Coordination
- Maintain calendars and conference room scheduling
- Coordinate meetings, including preparing materials as needed
Compliance & Professional Standards
- Maintain confidentiality of client and agency information
- Follow agency workflows, procedures, and documentation standards
- Represent the agency with professionalism at all times
- Duties may evolve based on agency needs and staffing structure
- This position plays a key role in client retention and service quality
