Job Title: Intake Admin Assistant

Pay Rate: $22 - $23 per hour on W2

Key Responsibilities

  • Provided administrative support to managers and team members by coordinating schedules, meetings, and daily office activities.
  • Answered and directed high-volume incoming phone calls, emails, and inquiries in a professional and timely manner.
  • Scheduled, confirmed, and rescheduled appointments while maintaining accurate calendars and records.
  • Greeted visitors, clients, and vendors, serving as the first point of contact for the organization.
  • Maintained electronic and paper filing systems, ensuring accurate recordkeeping and easy retrieval of documents.
  • Performed data entry, document scanning, filing, copying, and general office administration.
  • Prepared reports, spreadsheets, correspondence, and other business documents using Microsoft Office applications.
  • Managed confidential information and ensured compliance with company policies and procedures.
  • Coordinated communication between departments, customers, vendors, and external partners.
  • Assisted with onboarding paperwork, forms processing, and administrative projects as assigned.
  • Monitored office supplies, placed orders, and maintained inventory levels to support daily operations.
  • Resolved customer inquiries and provided exceptional service through phone, email, and in-person interactions.
  • Supported process improvements and maintained organized workflows to enhance office efficiency.
