Aberjona Rehabilitation & Nursing Center is seeking an experienced and organized Business Office Manager to oversee the financial and billing operations of our skilled nursing facility. This role is responsible for resident billing, reimbursement, accounts receivable and payable, and supporting residents and families with financial matters. The Business Office Manager works closely with the leadership and clinical teams to ensure accuracy, compliance, and excellent customer service.

Aberjona Rehabilitation & Nursing Center is seeking an experienced and organized Business Office Manager to oversee the financial and billing operations of our skilled nursing facility. This role is responsible for resident billing, reimbursement, accounts receivable and payable, and supporting residents and families with financial matters. The Business Office Manager works closely with the leadership and clinical teams to ensure accuracy, compliance, and excellent customer service.
Responsibilities:
Billing & Reimbursement
- Manage accurate billing for Medicare, Medicaid (MassHealth), Managed Care, and private pay residents
- Complete month-end close processes and census reconciliation
- Review PDPM billing components and payer requirements
- Track authorizations, coverage periods, and eligibility
- Work closely with MDS and Nursing to ensure documentation supports billing
- Monitor aging reports and follow up on outstanding balances
- Communicate clearly and professionally with families, insurers, and responsible parties
- Set up and monitor payment plans when needed
- Maintain accurate and complete resident financial records
- Participate in financial screening for new admissions
- Explain insurance coverage and financial responsibilities to residents and families
- Assist with Medicaid applications and renewals
- Ensure all admission and financial paperwork is completed accurately
- Review invoices and prepare payments
- Manage petty cash and resident trust accounts
- Complete monthly trust fund reconciliations according to regulations
- Follow established procedures to ensure accurate and secure cash handling
- Maintain compliance with CMS, Medicaid/MassHealth, HIPAA, and company policies
- Prepare documentation for audits and surveys
- Protect the confidentiality of resident information
- Participate in quality improvement activities as needed
- Supervise and support business office staff
- Provide excellent customer service to residents and families
- Participate in leadership and interdisciplinary team meetings
- Prepare financial reports for the Administrator
- High school diploma required; Associate or Bachelor’s degree preferred
- At least 2 years of business office or billing experience (skilled nursing or long-term care preferred)
- Knowledge of Medicare, Medicaid/MassHealth, Managed Care, and PDPM
- Experience with EHR or billing systems such as MatrixCare or PCC preferred
- Strong communication, organization, and problem-solving skills
- Ability to sit for extended periods while working at a computer
- Ability to lift up to 25 pounds occasionally
- Ability to move throughout the facility as needed
- Office-based role within a Skilled Nursing/Long-Term Care facility
- Regular interaction with residents, families, and staff
