Office Specialist II
As an Office Specialist II for Utah’s Adult Probation & Parole (AP&P) - PSI Unit, you serve a vital role in the preparation of Presentence and Post-sentence reports being prepared for Utah’s courts and the Utah Board of Pardons and Parole. Duties include data entry, information collection from allied agencies, monitoring court cases and sending reports to the courts.

A Presentence Investigation (PSI) is a comprehensive legal document that evaluates a defendant’s risk level, criminal history, and personal background. It includes victim impact statements and an actuarial risk assessment to determine the likelihood of future re-offending. Unlike a criminal investigation into guilt, a PSI focuses on the context of the individual to guide decision-making at sentencing.

Primary Duties & Responsibilities
The role provides clerical support for the Division of Adult Probation & Parole. Key duties include:
Ideal Candidate:
Experience: At least 1 year of experience in a professional office environment.
Skills: Strong verbal/written communication, organizational skills, and proficiency in computer programs.
Attributes: Resourceful, proactive, professional attitude, and the ability to work independently with little supervision.
Preferences: Working experience in a law enforcement agency.
Supplemental Information
The hourly rate for this position $19.90 (non-negotiable).
Current UDC employees' hourly rates will be based on the promotional policy.

- Data Entry: Extensive entry and retrieval of data from agency databases like Court X-change, O-Track, and UDOCA.
- Clerical Support: Answering phones/emails, collecting information, and preparing legal documents.
- Records Maintenance: Ordering police reports and files from archives, and archive submission.
- Reviewing data, records, and files for detail and accuracy.
- Providing authorized agencies with information.
- Providing basic and accurate information in-person and via email.
- Maintaining a high level of confidentiality and discretion.
- Running rap sheets.
- Preparing and generating Probation and Parole documents.
- Verifying conditions of probation and parole.
- Opening, maintaining and updating investigation files and other records.
- Ordering County Attorney and Police reports.
- Ordering files from Archives.
- Assisting with SONAR / CAOR Registry.
- Assisting with front desk duties as assigned (per rotation).
- Other duties as assigned.
