What are the responsibilities and job description for the HR Project Manager position at Staffmark Group?
You'll play a key role in coordinating HR, Immigration/Mobility, Legal, IT, and business teams to deliver a smooth, compliant, and well-structured experience for program participants and their managers.
Key Responsibilities:
- Own end-to-end onboarding and internal mobility workflows, coordinating across HR, Immigration/Mobility, Legal, IT, Facilities, and Operations to ensure participants receive timely, accurate, and well-communicated support.
- Navigate immigration and visa-related milestones, partnering with internal mobility teams and external counsel to track documentation, flag risks, and align timelines with program checkpoints.
- Build and maintain lightweight program infrastructure-SOPs, playbooks, checklists, and a source-of-truth dashboard that visualizes progress, risks, and dependencies.
- Define and track program metrics (on-time completion, cycle time, issue rate, satisfaction) and prepare clear, executive-ready updates for stakeholders.
- Identify blockers early and drive resolution through structured problem solving and effective cross-team communication.
- Partner directly with managers and participants to align expectations, provide resources, and ensure support throughout the onboarding journey.
- Coordinate with IT and Security for access provisioning, hardware logistics, and role-based permissions tied to start dates.
- Maintain documentation accuracy and audit readiness across ticketing systems and shared repositories.
- Support teams across global time zones (California, Seattle, Austin, Dublin, Tokyo), optimizing communication, handoffs, and meeting cadence.
- Proven project management experience, ideally in marketing, creative, or multi-team operational environments.
- Strong organizational skills, comfort creating structure, and a proactive approach to resolving issues before they escalate.
- Excellent communication skills, with the ability to tailor messaging for executives, cross-functional partners, and participants.
- Proficiency with project management tools (Asana preferred) and document management systems (Google Drive, SharePoint).
- Ability to manage multiple workflows simultaneously while maintaining clarity and prioritization.
- Strong interpersonal skills and a collaborative mindset.
- Experience coordinating workflows across HR, Immigration/Mobility, Legal, or IT, especially involving onboarding or employee lifecycle programs.
- Background in People Operations, Talent Programs, or complex onboarding environments.
