Key Responsibilities
- Manage, review, and distribute weekly deductible billing from insurance carriers
- Support onboarding of new locations, including insurance coverage setup and claims system integration
- Notify third-party administrators and insurance carriers of new, relocated, or closed locations
- Assist with data collection and reporting, including loss data, renewal data, and claims trends
- Process department invoices and outside counsel invoices, ensuring proper coding and submission to Accounts Payable
- Draft administrative and risk-related documentation, including retention and compliance materials
- Provide documentation and claim files to Legal as needed
- Prepare and distribute insurance materials, including driver cards and location documentation
- Coordinate mailing, document organization, and file management within internal systems
- Assist with scheduling meetings, coordinating team activities, and general administrative support
- Create FedEx labels and manage incoming/outgoing department mail
- Minimum 2 years of administrative experience required
- Proficiency in Microsoft Office 365 (Outlook, Word, Excel, Teams) required
- Associate’s or Bachelor’s degree preferred
- Strong organizational skills with high attention to detail
- Ability to manage multiple tasks and reprioritize in a fast-paced environment
- Strong written and verbal communication skills
- Ability to work independently while knowing when to escalate or ask for support
- Exposure to risk management, insurance, or claims processes
- Background in restaurant, retail, or hospitality environments
- Experience supporting large or self-insured organizations
