Position Summary


The Community Advancement Coordinator is a relationship-driven professional who plays a central role in cultivating and stewarding community generosity at St. John’s.


This position blends donor engagement, stewardship, event coordination, volunteer interaction, and marketing collaboration. It is a community-facing role responsible for building relationships with entry-level and mid-tier donors, ensuring meaningful stewardship experiences, and supporting fundraising initiatives that advance St. John’s mission to help older adults embrace living.


The ideal candidate is organized and detail-oriented, but equally warm, relational, and confident engaging donors and volunteers directly.


This position provides vital support to both the Development and Marketing teams, helping advance St. John’s mission to help older adults embrace living and contributing to the success of the organization’s strategic and philanthropic goals.


Key Responsibilities


Development and Fundraising Support


  • Assist the Director of Development in implementing fundraising strategies including annual fund initiatives, donor stewardship, memorial giving, and special campaigns.
  • Prepare donor acknowledgment letters, stewardship correspondence, and mailings.
  • Support donor cultivation activities by scheduling meetings, preparing materials, and assembling background research.
  • Assist with writing and managing grant application materials, tracking deadlines, gathering program information, and compiling attachments.
  • Help coordinate fundraising events, donor gatherings, cultivation tours, and recognition activities.
  • Manage a portfolio of entry-level and emerging donors with individualized outreach and stewardship plans.
  • Conduct thank-you calls, personalized notes, donor check-ins, and engagement follow-ups.
  • Support movement of donors from annual giving into deeper engagement pathways.
  • Track stewardship touchpoints and recommend next steps for donor growth.
  • Partner with the Executive Director and Director of Development to identify donors ready for upgraded cultivation.
  • Represent St. John’s professionally in donor interactions, tours, and select community engagements.


Donor Database and Reporting


  • Maintain accurate and timely donor records in the CRM database, including gift entry, biographical updates, tracking donor interactions, and managing constituent lists.
  • Generate reports, queries, mailing lists, dashboards, and performance metrics for the Executive Director and Director of Development as requested.
  • Complete gift processing and acknowledgment tasks in accordance with audit and finance requirements.
  • Monitor data accuracy, support data-cleanup projects, and implement database best practices.


Events and Program Support


  • Assist in implementation of annual giving campaigns, appeals, and special initiatives (including the Dementia Resource Center and other strategic priorities).
  • Support sponsorship outreach and fulfillment for fundraising events.
  • Provide event planning and logistics support for donor, marketing, and volunteer events (e.g., invitations, RSVPs, materials, check-in, follow-up).
  • Assist with donor recognition initiatives and stewardship events.
  • Ensure donors receive appropriate benefit fulfillment and acknowledgment.
  • Collaborate with St. John’s Volunteer Coordinator to identify volunteer needs and support volunteer placement for St. John’s Foundation events and activities.
  • Help support gift shop operations in partnership with the Gift Shop Associate as needed.


Marketing and Communications Support


In partnership with the Director of Marketing and Marketing Coordinator:


  • Assist in developing and preparing content for newsletters, social media, website updates, and promotional materials.
  • Support marketing campaigns tied to donor engagement, annual appeals, and community visibility.
  • Help coordinate and execute photography, storytelling, and gathering impact data for donor communications.
  • Support event promotion across digital and print channels.
  • Ensure donor-facing materials reflect brand integrity and a compelling case for support.


Administrative Support


  • Oversee accurate gift processing and acknowledgment workflows in collaboration with other Advancement team members.
  • Ensure timely and appropriate donor recognition and receipting.
  • Support reporting and reconciliation in coordination with Finance.
  • Maintain strong working knowledge of donor CRM systems to support relationship tracking.
  • Help manage inventory of promotional items, stewardship materials, and event supplies.
  • Provide some administrative support including scheduling, filing, preparing documents, processing invoices, and assisting with meeting preparation.
  • Serve as a responsive and professional point of contact for donors, volunteers, families, and community partners.


Qualifications


Education and Experience


  • Bachelor’s degree in Marketing, Communications, Nonprofit Management, Business, or related field preferred.
  • 2–5 years of experience in nonprofit fundraising, donor relations, marketing, or community engagement.
  • Experience managing relationships or customer/donor portfolios preferred.
  • Experience supporting events and community outreach preferred.


Skills and Competencies


  • Strong attention to detail, organizational skills, and accuracy in data management.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Comfort interacting with donors, volunteers, older adults, and team members with professionalism and empathy.
  • Proficiency in Microsoft Office Suite; experience with CRM, email marketing tools, or social media platforms is a plus.
  • Strong teamwork orientation with the ability to support multiple departments.


Working Conditions


  • Full-time, non-exempt position
  • Some early morning, evening, or weekend hours may be required for events and volunteer activities.
  • Occasional travel to Brickstone by St. John’s and St. John’s Meadows communities.
