SummaryThe Receptionist/Administrative Assistant will perform a variety of general clerical tasks and administrative support to ensure the efficient operation of the office. Areas of responsibilities may include but are not limited to:Greet visitors and point them in the right direction, answer inquiries, and create a welcoming environment.Organize and schedule meetings and appointments for the leadership team Prepare expense reports for leadership teamBook travel arrangements as requested for leadership teamOrganize quarterly and annual leadership conferencesRetrieve, receive, collate, and distribute mailPrepare certified mail slips and take outgoing mail to box or post office, as relevantManage corporate FedEx incoming/outgoing packagesPrepare, manage, and edit communications as requested, such as memos, emails, invoices, reports, and other correspondenceCreate and maintain filing systems, both electronic and physical, in a confidential mannerLiaise with the property management office and forward emails to relevant employeesOrder and manage office and kitchen suppliesOrganize corporate entertainment including meals, birthdays, and outingsNotarize official documentsEducation, Skills, Experience, and KnowledgeHigh school diploma or general education degree (GED); or two to three years of related experience and/or training; or equivalent combination of education and experience.Strong verbal and written communication skillsNotary certification or ability to attend and pass the notary classes and examProven administrative or assistant experienceKnowledge of Microsoft Office Products, office management systems and proceduresExcellent time management skills and ability to multi-task and prioritize workAttention to detail and problem-solving skillsWork EnvironmentOffice environmentPhysical demands may include but are not limited to:Moderate walking, standing, and/or climbing; light lifting and carrying, stooping, bending, kneeling, and reaching.
