Now Hiring: Office Manager / Executive Assistant


We’re seeking a highly organized, proactive, and people-focused Office Manager / Executive Assistant to help lead daily operations, support executive leadership, and foster a strong internal culture within a fast-paced, high-end professional services environment.


This role is ideal for someone who thrives on organization, accountability, communication, and creating systems that help teams operate at their highest level.


What You’ll Do

Operations & Cross-Department Coordination

  • Serve as the central communication hub between leadership, operations, sales, accounting, and project teams
  • Coordinate internal meetings, schedules, and workflow processes
  • Ensure operational paperwork, reporting, and administrative tasks are completed accurately and on time
  • Support leadership with reporting, organization, and strategic initiatives


Executive Support

  • Manage executive calendars, inboxes, scheduling, and priorities
  • Organize communications, documentation, and follow-up items
  • Assist with confidential projects and administrative support


Financial Administration

  • Process invoices, expenses, and payments
  • Support AP/AR functions and maintain accurate financial records
  • Assist with reconciliations, reporting, audits, and compliance tracking
  • Work within QuickBooks and project management systems


Team Development & Office Leadership

  • Help hire, onboard, and train administrative team members
  • Build systems, SOPs, and accountability structures that support company growth
  • Create a professional, organized, and service-driven office environment


Culture & Employee Engagement

  • Coordinate team events, volunteer initiatives, and employee engagement activities
  • Help cultivate a collaborative, positive, and high-performing workplace culture


What We’re Looking For

  • 5 years of experience in office management, executive support, operations, or administration
  • Experience in construction, design-build, or professional services preferred
  • Strong proficiency in:
  • QuickBooks
  • Buildertrend (preferred)
  • Google Workspace / Microsoft Office
  • Strong organizational, communication, and leadership skills
  • Ability to manage multiple priorities with professionalism and discretion
  • Experience creating systems, processes, and operational structure
  • High emotional intelligence with a service-first mindset

Salary : $65,000 - $80,000
