Summary:
We are a growing aerospace engineering and manufacturing company specializing in lithium-ion battery systems, advanced avionics, and mission-critical hardware. The Project Administrator supports Project Managers and engineering teams by coordinating project activities, tracking schedules and budgets, and maintaining project documentation in compliance with company, customer, and regulatory requirements. Strong organizational skills, attention to detail, and experience in compliance-driven environments are essential.
Responsibilities:
- Support Project Managers with day-to-day administrative and operational activities across multiple projects.
- Coordinate efforts across engineering, manufacturing, supply chain, quality, and external defense and commercial partners
- Assist with preparation of technical review packages, risk registers, and project presentations for internal and external stakeholders.
- Maintain and update integrated project schedules, milestones, and timelines using approved project management tools.
- Monitor critical path activities and proactively flag schedule risks or deviations.
- Track deliverables for design reviews, testing phases, certifications, and customer or government reporting.
- Assist with tracking project costs, including labor hours, materials, and subcontractor invoices.
- Support cost reporting, budget forecasts, and Earned Value Management (EVM) inputs, as applicable.
- Identify cost variances and escalate issues to Project Management for corrective action.
- Manage and maintain project documentation in accordance with aerospace and defense document control requirements.
- Maintain version control for engineering drawings, specifications, test reports, change orders, statements of work, and customer correspondence.
- Coordinate document reviews, approvals, releases, and configuration changes using document management systems.
- Ensure secure handling, storage, and distribution of controlled and sensitive information.
- Prepare and distribute project status reports, dashboards, and performance metrics for leadership.
- Support project meetings, design reviews, customer briefings, and technical milestone events.
- Perform other duties as assigned.
Experience
- 2 years of project coordination or administrative experience, preferably in aerospace, defense, or a highly regulated industry.
- Experience with document control, configuration management, or quality systems is highly desired.
Required Skills:
- Strong working knowledge of project management tools (MS Project, Primavera, Smartsheet).
- Familiarity with AS9100D and export controls (ITAR/EAR).
- Excellent organizational, communication, and analytical skills.
- Ability to manage sensitive and restricted documentation with discretion.
- Proficiency with MS Office Suite and document management systems .
- Ability to work in a dynamic environment with competing priorities and strict deadlines.
Education
- Bachelor's or Associate degree in Business Administration, Project Management, Engineering Support, or relevant field.
- Equivalent experience will be considered in lieu of education.
ITAR Requirements
To comply with U.S. Government space technology export regulations, applicants must be a U.S. citizen, U.S. lawful permanent resident, or another "protected individual" as defined by 22 CFR §120.15, or be eligible to obtain any required authorizations from the U.S. Department of State.
