What are the responsibilities and job description for the Project Administrator position at Wicks Roofing Inc?
The Project Administrator is responsible for providing administrative support to production/project managers, coordinating project-related tasks, and facilitating communication with customers and between various departments. They also handle the administrative tasks of planning and scheduling roofing projects and estimates. The role requires strong organizational and communication skills, attention to detail, and the ability to multitask effectively.
Key Responsibilities:
- Project Planning and Tracking:
a. Supports team on initial planning and customer communication for project kick offs.
b. Helps set up projects in Service Titan software system.
c. Plans projects utilizing scheduling software while understanding production capacity. Assures all labor estimated remaining on jobs is reflected on capacity reports.
d. Assist in the preparation of permit applications and other regulatory documentation.
e. Schedules or assigns crew to projects as planned. Assists in the dispatching of crews.
f. Verify all timecards in Service Titan.
g. Approve crew timecards by Monday morning for payroll processing and follow up with crews to assure employees also approve timecards.
h. Track expenses, invoices, and change orders to ensure accurate financial reporting.
i. Maintain up-to-date records of project milestones, tasks, and deadlines.
j. Assist in making sure all project billing is initiated as expected.
k. Set up projects on Company Cam as required.
- Customer Service:
a. Communicates with customers on project schedules throughout project cycle.
b. Engage with customers to address their concerns, resolve any issues they may have and provide reassurance on behalf of the company.
c. Follow up with customer requests and make sure they are addressed professionally.
- Administrative Support:
a. Assists with scheduling, documentation, and correspondence including preparation of project and production management reports.
b. Maintain project files, records, and documentation in an organized manner.
c. Assists with other administrative work as needed. This could include setting up appointments, inspections, supplier follow-up, processing payments etc.
- Team Support and Collaboration:
a. Serve as a point of contact for project-related inquiries from clients and internal teams.
b. Communicate project requirements, timelines, and expectations clearly.
c. Facilitate communication between crew, project managers, and other team members.
d. Provide support to project managers/crew as needed to resolve issues and address concerns.
e. Foster a positive and collaborative work environment conducive to project success.
Qualifications and Skills:
Experience in project administration/coordination, preferably in the construction or roofing industry.
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse departments.
Proficiency in Microsoft Office Suite and project scheduling/management software.
Attention to detail and accuracy in data entry and record-keeping.
Ability to work independently with minimal supervision and as part of a team.
