Position Summary: Referral Coordinator maintains ongoing tracking of patient referrals for in-house/ outsourced services, ensures that referrals are addressed in a timely manner, keeps physicians updated with accurate documentation in system, sets up appointments, maintains insurance authorization, ensures complete and accurate registration, demographics, and current patient insurance. This position is a grade N9; pay is $21.48/hour.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Maintains accurate records for incoming calls, including interventions and follow-up instructions.
- Schedules appointments for patients at outside medical offices, clinics, and hospitals as necessary.
- Forms collaborative professional relationships with outside providers staff to help facilitate the referral process.
- Enters necessary information into RPMS, EHR, RCIS, and Scheduling Database
- Provides administrative and clinic support to healthcare professionals at the Southern Ute Health Center.
- Initiates and coordinates referrals of patients to appropriate contracted sources for medical care and services that cannot be provided.
- Obtains pre-authorization for care from insurance companies as required.
- Initiates appropriate follow up, enters all follow-up in RCIS, and assists patients with scheduling if needed.
- Receives and responds appropriately to patient calls, including but not limited to, gathering of clinical information from the patient and using this information with established protocols to determine the appropriate course of action in response to the patient's disease and symptoms.
- Consults and coordinates with Physicians, Nurses, patients, and coworkers during the referral process as needed.
- Documents in the electronic patient chart or other record each technical supportive service performed by the Referral Coordinator.
- Prepares and types correspondence as requested.
- Participates in assigned staff and other meetings, including quality improvement and case conferences.
- Maintains the privacy and confidentiality of patient information according to the Privacy Act and applicable HIPAA and Southern Ute Indian Tribal Laws.
- Complies with Tribal and other appropriate policies, procedures, rules, and regulations.
- Cross-trains with other Health Center employees to assist with answering phones and scheduling patients.
- Performs other duties and tasks as may be required or assigned.
Education And Experience
- Must have a High School Diploma or Equivalent
- Must have 2 years of administrative/clerical experience.
- Must have work experience in a medical office or similar setting.
- Must have knowledge of commonly used medical terminology, medical symbols and abbreviations, names of medical tests, etc.
- Must have advanced computer experience in software programs including Microsoft Word and Excel.
- Must pass a thorough criminal history background check including fingerprint check and pre-employment drug test.
Preferred Qualifications
- Previous medical experience or medical training.
- Prior experience in patient referral process, including follow-up, scheduling, and prior authorizations.
- Computer experience in electronic health records, RPMS.
- Prior work experience with Native American Indian Tribes.
