Job Overview
We are seeking a highly organized and detail-oriented Operating Room Scheduler to coordinate surgical scheduling and related administrative functions in a healthcare setting. The ideal candidate will have experience in healthcare administration, excellent communication skills, and the ability to manage multiple priorities simultaneously. This position requires close coordination with surgeons, perioperative staff, and leadership to ensure accurate scheduling, patient preparation, and compliance with organizational requirements.
Key Duties and Responsibilities
- Verify surgeon availability and ensure correct assignment to patients, surgery dates, times, and durations.
- Document recommendations, special instructions, and surgical comments with surgeon concurrence.
- Add patient names to waiting lists or coordinate waiting lists with clinic staff as needed.
- Create manual schedules when automated systems are unavailable.
- Ensure providers receive appointment rosters and necessary administrative medical records.
- Use computer systems to obtain requested patient information; escort patients to exam rooms as required.
- Update and edit surgical phone lists with staffing changes.
- Coordinate with the Chief of Surgery, Perioperative Services Leadership, and Market Leadership to update or change surgical block times.
- Provide patients with detailed step-by-step instructions for surgery, including itineraries, required testing, pre- and post-op appointments, maps, and key contact information.
- Prepare complete surgical charts, including correspondence, approvals, managed care agreements, treatment plans, verification forms, medical profiles, leave documents, and eye exam documentation.
- Prepare pre-operative briefing packets, including instructions, follow-up appointments, convalescent leave paperwork, and medication inventories.
- Coordinate with the pharmacy regarding patient names, surgical dates, procedures, and required medications for refractive surgery.
- Call patients on waiting lists when appointments become available.
- Address and mail appointment notifications as needed.
- Explain appointment delays to patients and provide alternative sources of information when necessary.
Education and Qualifications
- Must be a U.S. Citizen and legally authorized to work in the United States.
- Education: High School diploma or General Educational Development (GED) equivalency. Basic medical terminology required.
- Equivalency determination requests are not permitted for this role.
- Certifications: Basic Life Support (BLS) required
- Licensure and Board Certification: Not required.
- Minimum of two years’ experience in a healthcare environment and two years of administrative/organizational management experience required.
- Must be able to read, write, speak, and understand English well enough to communicate effectively.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
