Job Overview
We are seeking a dependable and detail-oriented Medical Records Clerk to manage, maintain, and protect patient health information in compliance with federal laws and organizational policies. This position requires strong organizational skills, knowledge of medical recordkeeping procedures, and the ability to handle confidential information with discretion. The Medical Records Clerk will play a critical role in supporting healthcare providers, patients, and administrative processes through accurate record management and information release functions.
Key Duties and Responsibilities
- Maintain, organize, and file medical records in compliance with applicable regulations and procedures.
- Perform releases of medical information in accordance with standard operating procedures, the Privacy Act, and confidentiality directives.
- Research, analyze, and abstract pertinent medical information from records involving multiple injuries, conditions, or procedures, and report findings to requestors.
- Verify validity and entitlement to access information prior to release; escalate questionable requests to the legal office for review.
- Brief patients, insurance companies, social services, and other agencies on policies related to medical record release.
- Ensure billing procedures are followed, including initiating charges, posting transactions, and forwarding statements to accounting officers.
- Protect patient information by treating lists and names as privileged and ensuring no disclosure outside the MTF without written authorization.
- Use computers and systems effectively; type 30–40 words per minute.
- Retrieve and file records, which may require prolonged walking, standing, sitting, or bending, as well as carrying 25–50 pounds and using step ladders for high shelving units.
- Perform other duties as required by the Medical Records Clerk labor category in the base contract.
Education and Qualifications
- Must be a U.S. Citizen and legally authorized to work in the United States.
- Education: High School diploma or General Educational Development (GED) equivalency. Basic medical terminology required.
- Equivalency determination requests are not permitted for this role.
- Certifications: Basic Life Support (BLS) required, Registered Health Information Technician (RHIT) or Registered Health Information Administrator
- Licensure and Board Certification: Not required.
- Minimum of 12 months of relevant experience required.
- Must be able to read, write, speak, and understand English well enough to communicate effectively.
