Essential Responsibilities/Duties
Office & Facilities Management
- Oversee HQ office operations, ensuring a clean, organized, and safe environment.
- Manage office and kitchen supplies, snacks, and equipment to ensure availability and functionality.
- Serve as the primary liaison with property management for facilities issues (non-IT), including janitorial services, building access, and safety.
- Coordinate repairs and maintenance with vendors, ensuring appliances and facilities remain in good working order.
- Manage office seating assignments and communications for new hires, visiting employees, and team changes.
- Distribute and process incoming/outgoing mail, shipments, and deliveries.
- Oversee office meal and snack programs, ensuring variety, cost-efficiency, and smooth execution of weekly breakfasts and lunches.
- Welcome guests, visitors, and new hires, including providing office tours and a positive first impression.
- Support onboarding by coordinating workspace readiness and participating in office orientation.
- Support inclusive office events such as monthly All Hands, team gatherings, and cultural activities.
- Partner with HR and satellite office leads to continuously improve office services that enhance employee experience.
- Provide logistical support for HR projects, onboarding programs, and company events.
- Assist with office supply and operational needs across satellite offices as required.
- Communicate building and facilities updates to employees in a timely and proactive manner.
- On-site presence required, Monday–Friday during standard business hours, with occasional after-hours support.
- 3 years of experience in office management, facilities coordination, or similar role.
- Strong organizational and planning skills with a focus on efficiency and cost-conscious decision making.
- Excellent time management, multitasking, and prioritization skills.
- Strong attention to detail and problem-solving mindset.
- Ability to work effectively with employees at all levels. Prior experience supporting a 24/7 work environment preferred but not required.
- Proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Ability to suggest and implement process improvements with creativity and practicality.
- Budgeting experience preferred.
- Prior AI experience and/or willingness to learn and use AI tools for workflow and other responsibilities.
