OFFICE MANAGER

The Office Manager is responsible for providing ongoing support to the management team. This role requires strong independent planning and prioritization skills, as well as excellent time management and organizational abilities. The ideal candidate will be competent in vendor management, able to solve problems, evaluate alternatives, and develop best practices to complete tasks efficiently.

Essential Duties and Responsibilities
- Handle all office duties including, but not limited to mail distribution (incoming/outgoing), maintaining office supplies, administrative support to employees, assist with scheduling meetings, managing vacation schedules, etc.
- Liable for all freight company relationships to maintain best pricing agreements, help prepare shipments and provide ongoing reporting to employees and more.
- Responsible for new employee relations/process, paperwork, benefits, training on office policies and equipment systems (i.e. phone, video conferencing etc.).
- Liaison with benefits provider(s) to participating employees to ensure any benefit needs and/or updates are met – medical, dental, vision, life insurance, 401K, profit sharing & more.
- Support account management staff in helping manage and distribute client samples.
- Work with creative team to help develop and execute company communications, both externally (i.e. e-blasts, marketing campaigns, etc.) and internally (i.e. employee events, employee handbook, etc.).
- Maintain current vendor relationships/subscriptions (i.e. Adobe Suite, Shutterstock, Mail Chimp, etc.) and seek potential new vendor opportunities that would benefit employees.
- Assist all departments in setting up new account information including affiliate sites (i.e. Netflix, Hulu, Prime, HBO/Max & more).
- Track and manage PTO days, as well as other human resource information, for all employees.
- Supervise company generic email inbox/communications (i.e. info@snapcreativemarketing.com), help set up email distribution groups and more.
- Handle and secure all required paperwork for all freelancer and vendor relationships.
- Responsible for learning any required new office technology and managing/training employees internally (i.e. new phone system, video conferencing).
- Plan internal events with attention to financial and time constraints.
- Communicate new office and employee policies or procedures to staff upon approval.
- Other duties may be assigned as necessary.
Qualifications/ Skills
- 3-5 years of office management/administration or related experience
- Close attention to detail and task master mentality; think strategically, and act tactically
- Some industry experience in marketing a plus
- Outstanding communication skills and negotiation ability
- Well organized and multi-tasking skills
- Problem-solving ability
- Proficiency with Microsoft Office Suite including PowerPoint
- Prior experience with direct marketing (especially print production including direct mail) is a plus
- Prior experience with project management software is a plus (Wrike, Asana, FunctionPoint, Jira, etc.)
- Experience with Adobe Creative Cloud a plus
