The Opportunity:

The ideal candidate would be excited by the prospect of becoming an integral part of an Administrative Team, actively engaging in projects that support the well-being of SME. As an Administrative Team Member, you will work with the support of our administrative team to enhance, align and drive the effectiveness of initiatives.

Responsibilities:

  • Maintain and update laboratory manual software program for all SME labs.
  • Maintain digital filing for the Lab per SME's Standards and Guidelines.
  • Project assistance.
  • Proofreading, formatting, processing, and transmitting documents, with the responsibility of ensuring they follow our company standards.
  • Updating Team Member resumes.
  • Utilizing multiple software programs to run reports and following up with outstanding items.
  • Sending feedback requests to clients.
  • Tracking and following up on project requirements. (scheduling, proposals, signed client agreements, safety forms, reports, and change orders)
  • Track business expenses; Reconciling credit cards; Assisting with preliminary review of project invoicing; Assisting Project Managers with accounts payable and receivables.
  • Coordinating meetings, primarily for internal team members; Arranging travel for field and office team members; Setting up meetings, primarily internally with room arrangement, IT needs, and meals.
  • Equipment and Vehicle tracking such as maintenance and recalls; Answering phones and greeting guests; Ordering supplies; Shipping and receiving packages; Back-up Administrative Team Members when they are out of the office; We expect this role to adapt and change as our business grows; Communication with team members will be in several different forms, including phone, email, Microsoft Teams video calls, and in person.

Technical Skills:

The ideal candidate would exhibit the following:

  • Experience in an administrative office role.
  • Excellent proofreading skills related to word usage, flow, and punctuation.
  • Excited to learn new programs/processes/technology and grow professionally.
  • Comfortable communicating via phone, text, email, and Microsoft Teams video calls.
  • Competency using computer operating systems and current MS Office Suite programs (Word, Excel, Outlook, Teams, and PowerPoint).
  • Ability to understand and adapt to change and react productively to frequent interruptions and changing conditions. Also, able to independently focus and work on deliverables requiring ~1-2 hours of dedication.
  • Ability to work independently and as a part of a team.
  • Ability to reprioritize throughout the day as urgent needs arise.
  • Comfortable meeting tight deadlines and adapting to changing project needs with little to no notice.
  • Willing to work occasional overtime, weekends, and travel overnight (rare) to meet the needs of the SME team and our clients.
  • Ability to work at a desk for long periods of time.

Requirements:

  • Has competency using computer operating systems and MS Office Suite programs (Word, Excel, Outlook and PowerPoint).
  • Excellent verbal and written communications skills to effectively interact with clients, team members, and supervisors, conveying technical information clearly.
  • Strong organizational skills, ability to prioritize, manage workloads, maintain accurate and detailed record-keeping skills, documenting field observations, safety concerns, and problem resolutions.
  • Effective interpersonal skills to build rapport with clients and team members, fostering positive working relationships, customer-centric approach to provide excellent service to clients, ensuring their needs and concerns are addressed promptly and professionally.
  • Must be able to understand and adapt to change and react productively to frequent interruptions and changing conditions.
  • Has a general aptitude for identifying and resolving complex technical problems, utilizing critical thinking and logical reasoning.
  • Demonstrates ethical conduct, maintaining confidentiality and ensuring safety and security in all aspects of work, strict adherence to safety protocols and guidelines, fostering a safe working environment for yourself and others.
