SmartHire is looking for an Office Administrator to join a client in the Puyallup WA area. This is a full time, direct hire and fully onsite role. Ideal candidate will have 4 years of recent administrative experience within a professional facility or similar and strong technical skills.

Position Summary
We are seeking a highly organized, proactive, and detail-oriented Office Administrator to keep daily business operations running efficiently. This role is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, and takes pride in creating organized processes that support the success of the entire team. The ideal candidate is a strong communicator who can manage competing priorities, maintain confidential information, coordinate projects, and provide exceptional administrative support while ensuring the office operates smoothly.
Key Responsibilities
Office Leadership
· Help oversee daily office operations and provide guidance and support to office staff.
· Ensure office procedures and administrative processes are followed consistently.
· Foster a professional, organized, and welcoming office environment.
Administrative & Financial Support
· Process accounts payable and receivable accurately and in a timely manner.
· Maintain contracts, project documentation, vendor records, and other business files.
· Track expenses, company credit card transactions, reimbursements, and purchase orders.
· Order office supplies, equipment, and materials while monitoring inventory.
Operations & Documentation
· Maintain accurate electronic and paper filing systems.
· Manage databases, records, and business documentation.
· Coordinate service requests and track work orders through company systems.
· Handle sensitive and confidential information with discretion.
Scheduling & Coordination
· Manage calendars, meetings, and appointments for leadership.
· Welcome visitors and provide a professional front-office experience.
· Coordinate communication between internal teams, vendors, and business partners.
· Assist with special projects and help improve office processes and efficiencies.
Qualifications
· 4 years of office administration or administrative support experience.
· Strong organizational and multitasking skills with exceptional attention to detail.
· Experience coordinating projects, maintaining documentation, and managing office workflows.
· Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
· Experience working with document management, accounting, or project tracking software is a plus.
· Associate degree preferred; Bachelor's degree is a plus.
