Key Responsibilities
The Big Picture
Provide exceptional front-desk and client service support while maintaining efficient office operations and supporting firm personnel and visitors.
Specific Tasks
- Represent the firm with professionalism and enthusiasm at all times.
- Handle a high volume of calls on multiple phone lines with sensitivity and poise.
- Quickly identify and correctly route calls to appropriate persons and teams.
- Perform data entry, administrative, and other special tasks from the reception desk.
- Maintain and stock conference rooms to ensure readiness for meetings.
- Receive deliveries and sort and distribute incoming mail.
- Maintain the firm’s supply of branded merchandise, monitor inventory levels, and coordinate new orders with the Marketing team when supplies run low.
- Prepare and mail promotional and marketing materials to referring attorneys and clients.
- 3 years of experience as a receptionist in a professional environment.
- 2 years of client or customer service experience.
- 1 year of experience working in a law firm environment preferred.
- Multi-line telephone proficiency.
- Excellent verbal and written communication skills.
- Computer literacy consistent with contemporary business standards (Microsoft Outlook, Excel, Word, Teams).
- Proficiency in operating standard office equipment.
- General knowledge of mail systems (USPS, UPS, FedEx).
- Ability to lift packages up to 25 lbs. and sit for prolonged periods.
