JOB SUMMARY:
The Food & Beverage Administrative Assistant provides comprehensive administrative, clerical, and organizational support to the Director of Food & Beverage, the Food & Beverage leadership team, and Executive Management. This position plays a vital role in ensuring efficient department operations through accurate recordkeeping, reporting, communication, scheduling, and coordination of activities across all SRCR Food & Beverage outlets, LCC C-Store Kitchen Operations, and the Black Bear Diner.
The successful candidate will be highly organized, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment. This position requires advanced computer proficiency, exceptional communication skills, and the ability to maintain confidentiality while supporting departmental and organizational objectives.
MINIMUM REQUIREMENTS:
- High School Diploma or GED required
- 2-year AA degree* and 4 years’ experience in fast-paced industry required
- 4-year degree preferred
- 4- years’ experience in food and beverage preferred
*Advanced level computer and office automation training and years of additional experience can be considered in lieu of the degree.
LICENSES
- Class II Gaming license
- WA Driver's License

SPECIFIC DUTIES PERFORMED:
- Administrative Support
- Provide administrative support to the Director of Food & Beverage and department managers.
- Prepare, draft, edit, and distribute correspondence, reports, presentations, policies, and departmental communications.
- Maintain organized filing systems for both physical and electronic documents.
- Manage calendars, appointments, meetings, and departmental schedules.
- Coordinate meetings, prepare agendas, and record meeting minutes.
- Assist with onboarding and orientation paperwork for new team members.
- Maintain confidential employee and departmental records.
- Coordinate travel arrangements and scheduling as required.
- Support special projects and departmental initiatives as assigned.
Reporting and Data Management
- Prepare daily, weekly, monthly, and quarterly operational reports.
- Compile and analyze labor, sales, inventory, and financial data.
- Track departmental budgets and expenses.
- Generate reports using spreadsheets and database systems.
- Maintain accurate records related to labor costs, inventories, purchasing activities, and productivity metrics.
- Assist with audits, compliance reviews, and operational assessments.
- Develop and maintain departmental tracking systems and reporting tools.
Team Member Support
- Serve as a point of contact for team member inquiries and departmental communications.
- Maintain scheduling records and assist with schedule preparation.
- Support, coordinate, and communicate team member recognition programs, training documentation, and departmental events.
- Track certifications, licenses, permits, and required training records.
- Assist management with recruitment, onboarding, and personnel documentation.
- Communication and Coordination
- Communicate effectively with managers, employees, vendors, and other departments.
- Coordinate special events, banquets, promotions, meetings, and departmental projects.
- Assist with preparing presentations and supporting operational meetings.
- Ensure timely distribution of information, policies, procedures, and announcements.
- Foster positive working relationships throughout the organization.
