About Inspire Homes
Inspire Homes is a growing custom and semi-custom homebuilding company serving clients throughout Washington and Northern Idaho. As our company continues to expand, we are looking for a dependable, organized, and proactive Administrative Assistant to support our Operations Manager.
This position will begin at approximately 15 hours per week, with the opportunity for additional hours and responsibilities as the company grows and as we identify the candidate’s strengths and capabilities.
Position Overview
The Administrative Assistant will help manage a variety of bookkeeping, administrative, organizational, and operational tasks. The ideal candidate is detail-oriented, comfortable working independently, able to manage multiple priorities, and willing to learn new systems and processes.
This is a remote position, but work must be completed during regular business hours to allow for communication and collaboration with our team, clients, vendors, and subcontractors. We prefer to hire someone in the Skagit Valley as that's where our corporate office is located and there may be times when in person work at the office is required, or to accompany Operations Manager on site visits, meetings, bank deposits, etc.
Responsibilities
Responsibilities may include:
- Entering and maintaining financial information in QuickBooks Online
- Assisting with bookkeeping, invoicing, expense tracking, and account reconciliation
- Organizing digital files, contracts, receipts, and project documentation
- Preparing and updating reports, spreadsheets, and internal documents
- Assisting with vendor and subcontractor paperwork
- Monitoring emails and helping coordinate follow-up communication
- Supporting scheduling, data entry, and general administrative tasks
- Assisting with construction project documentation and tracking
- Helping develop and maintain company procedures and organizational systems
- Taking on additional responsibilities based on experience, skills, and company needs
Required Qualifications
- Proficiency with QuickBooks Online is mandatory
- Strong organizational skills and attention to detail
- Ability to work independently and manage time effectively
- Strong written and verbal communication skills
- Comfortable working with spreadsheets, email, cloud-based files, and online software
- Ability to maintain confidentiality when handling company and financial information
- Reliable internet connection and a suitable remote work environment
- Availability to work during regular business hours
Preferred Qualifications
- Previous administrative, bookkeeping, or office support experience
- Experience working for a construction company, homebuilder, contractor, or related business
- Familiarity with construction terminology, subcontractors, vendors, contracts, or project documentation
- Experience with Microsoft Excel, Google Workspace, or project-management software
- Ability to identify inefficiencies and help create organized systems and procedures
