Shawsheen Valley Technical High School is seeking a highly organized and professional Administrative Assistant for a school year position in the Cooperative Education (Co-op) Office. Reporting directly to the Cooperative Education Coordinator, the Administrative Assistant works closely with students, faculty, school administration, and external employers to help coordinate work-based learning opportunities and ensure program requirements are met.
The ideal candidate is highly organized, collaborative, and comfortable communicating with outside organizations, including local businesses, employers, and community partners. The candidate will demonstrate excellent interpersonal skills and attention to detail. This is a school-year position for a total of 190 days per year, with an 8-hour workday from 7am – 3pm.
Key Responsibilities:
- Maintain accurate and up to date student co-op records, including placement information, employment data, and eligibility documentation.
- Organize and file co-op agreements, training plans, evaluations, timesheets, and employer information in both digital and physical formats.
- Update student participation records in the school’s student information system and co-op tracking logs.
- Assist with data collection and documentation needed for Chapter 74 compliance, audits, and program reviews.
- Ensure confidentiality and proper handling of student and employment records in compliance with school policies and FERPA.
Communication and Notifications
- Notify students of co-op placement status, required paperwork, deadlines, and program expectations.
- Communicate with teachers regarding student co-op placements and program participation.
- Support communication between the Cooperative Education Coordinator, guidance, administration, and vocational staff regarding student placement updates.
- Prepare and distribute routine correspondence, emails, and notices related to co-op activities and quarterly reports to administration.
Program Support
- Assist in tracking student eligibility and readiness for co-op participation.
- Provide logistical and administrative support for co-op meetings, orientations, and placement activities.
- Respond to routine inquiries from students, teachers, and staff regarding co-op procedures and documentation requirements.
- Support the Cooperative Education Coordinator with general clerical and organizational tasks as needed.
Qualifications:
- Proficiency in Aspen or similar school management systems.
- Proficiency in Microsoft 365.
- Exceptional multitasking abilities and organizational skills.
- Demonstrated patience, professionalism, and attention to detail.
Salary:
Salary and Benefits: The starting salary range for this position is $45,729 to $53,751 plus a $2,250 Roster Bonus for the 2026-2027 school year. Salary and benefits in accordance with the clerical contract.
