Job Summary
The Project Coordinator supports the Project Manager and Assistant Project Manager by handling administrative, coordination, and documentation functions for construction projects. This role is critical in ensuring organized project execution, accurate reporting, and timely communication across field and office teams. The Project Coordinator focuses on project support and documentation, allowing the APM to focus on cost, operations, and field execution.
Key Responsibilities
Project Coordination & Support
- Assist the Project Manager and Assistant Project Manager with daily project coordination activities
- Maintain project schedules, logs, and tracking tools
- Coordinate subcontractor documentation, onboarding, and compliance requirements
- Track submittals, RFIs, and project deliverables to ensure timely completion
Documentation & Reporting
- Maintain organized and accurate project files (digital and physical)
- Prepare and distribute meeting minutes, reports, and project updates
- Track and log RFIs, submittals, change orders, and correspondence
- Assist with preparation of project reports for internal and client use
Communication & Meetings
- Coordinate project meetings, including scheduling, agendas, and follow-ups
- Serve as a communication link between field teams, vendors, and office staff
- Ensure timely distribution of project information to all stakeholders
Compliance & Administrative Support
- Assist with contract documentation, insurance tracking, and compliance requirements
- Support certified payroll reporting, LCP Tracker updates, and project-specific compliance needs
- Maintain records required for audits, client requirements, and internal processes
Procurement & Cost Support
- Assist with purchase order creation, tracking, and documentation
- Support invoice tracking and coordination with accounting
- Help ensure proper documentation is in place for billing and cost tracking
Field & Office Coordination
- Coordinate logistics such as equipment deliveries, material tracking, and vendor scheduling
- Support field teams with documentation, reporting, and administrative needs
- Track manpower reports, daily logs, and production data as needed
Qualifications
- High school diploma required; associate’s or bachelor’s degree in construction management or related field is a plus
- 1–3 years of experience in construction, project coordination, or administrative support preferred
- Strong organizational and time management skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with construction software is a plus
- Ability to manage multiple tasks and prioritize effectively
- Strong communication and attention to detail
