Search Solution Group is seeking a highly skilled Executive Assistant to provide high-level administrative and operational support to C-suite and senior executives. This individual will play a critical role in ensuring the seamless execution of executive priorities through exceptional organization, discretion, and coordination across internal and external stakeholders. The ideal candidate will serve as a trusted partner in managing confidential information, executive logistics, scheduling, and complex business activities in a fast-paced environment.
Key Responsibilities
- Manage complex C‑suite calendars and meeting cadences to optimize executive effectiveness, alignment, and decision-making.
- Provide high-touch, confidential executive support to multiple senior leaders.
- Coordinate domestic and international travel, including airfare, accommodations, ground transportation, visa processing, and required documentation.
- Prepare and reconcile monthly expense reports, invoices, and billing transactions in compliance with company policies.
- Support employee relations and relocation activities to enhance overall employee experience and engagement.
- Act as a liaison and gatekeeper for highly confidential initiatives, enabling executives to focus on strategic priorities.
- Plan and execute executive meetings, leadership offsites, large-scale team events, regional meetings, and internal initiatives.
- Reconcile corporate expenses, manage vendor payments, and maintain accurate financial records to ensure compliance and reporting accuracy.
- Administer contracts and agreements, including coordinating approvals, obtaining signatures, and managing electronic document workflows.
Required Qualifications
- Bachelor’s degree in business administration or 5 years of relevant executive administrative experience.
- Advanced proficiency in Microsoft Excel and PowerPoint, with the ability to support executive-level reporting and presentations.
- Demonstrated ability to handle highly sensitive and confidential information with discretion and professionalism.
- Proven ability to independently draft, edit, and manage executive-level communications, including emails, with a high degree of professionalism, accuracy, and attention to detail.
- Strong organizational, communication, and stakeholder management skills.
