Key Responsibilities:
Office Management & Administration:
- Oversee daily office operations, including front-desk management, scheduling, and vendor relations.
- Greet clients, visitors, and vendors professionally; answer and route incoming calls.
- Manage office supply inventory and order materials as needed.
- Supervise and coordinate the work of administrative assistants or receptionists.
- Maintain a clean, organized, and welcoming office environment.
- Handle confidential correspondence and maintain filing systems (physical and digital).
- Coordinate internal communications and staff meetings.
Bookkeeping & Financial Operations:
- Manage accounts payable and accounts receivable; process invoices and billings.
- Reconcile bank statements and credit card statements monthly.
- Process payroll and track employee hours/leave.
- Prepare monthly financial reports (balance sheet, income statement, cash flow) for leadership.
- Assist with budget preparation and expense tracking.
- Ensure accurate coding of expenses and revenue for Medicaid/insurance billing.
- Maintain compliance with financial policies and assist with external audits.
- Manage petty cash and financial record retention.
Qualifications:
- High School Diploma required; Associate's or Bachelor's degree in Accounting, Business Administration, or related field preferred.
- 1 year of experience in office management combined with bookkeeping or accounting duties.
- Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office (Excel, Word, Outlook).
- Strong understanding of basic accounting principles (debits, credits, reconciliation).
- Excellent organizational, time management, and multitasking skills.
- High level of integrity and ability to handle sensitive financial and personnel information.
- Strong communication skills and ability to work collaboratively with clinical and administrative teams.
- Detail-oriented with strong numerical accuracy.
Preferred Skills:
- Experience in healthcare, social services, or non-profit accounting.
