Senior Administrative Coordinator – Engineering Operations - Contract to Hire
Location: Trumbull, CT Area (100% Onsite)

Are you the person everyone depends on to keep a busy organization running seamlessly? We're seeking a polished, highly organized, and proactive Senior Administrative Coordinator to become the operational backbone of a growing engineering organization supporting approximately 30 engineers.
This is far more than a traditional administrative position. You'll partner closely with engineering leadership, oversee day-to-day department operations, coordinate purchasing and budgeting activities, organize company events, and help create an exceptional employee experience. What You'll Do
- Provide high-level administrative support to engineering leadership and a team of approximately 30 engineers.
- Coordinate calendars, meetings, presentations, agendas, and follow-up on action items.
- Manage purchase orders, purchasing requests, vendors, and departmental purchasing card reconciliations.
- Assist with budgeting, expense reporting, invoice tracking, and department administrative reporting.
- Serve as the primary point of contact for daily department operations and administrative support.
- Coordinate onboarding for new employees, workspace assignments, organizational updates, and department communications.
- Plan and execute department meetings, holiday celebrations, employee recognition events, team-building activities, and other company functions.
- Coordinate travel arrangements, site visits, and meeting logistics for leadership and visitors.
- Maintain organized documentation, department records, shared calendars, and operational processes.
- Partner with cross-functional teams to ensure projects and administrative initiatives are completed efficiently and accurately.
- Continuously identify opportunities to improve processes, increase efficiency, and enhance the overall employee experience.
What We're Looking For
- 3-5 years of experience in executive administration, office management, operations, purchasing, or a similar high-level administrative role.
- Experience supporting large, fast-paced teams, preferably within engineering, manufacturing, technology, or another professional environment.
- Outstanding organizational and multitasking abilities with exceptional attention to detail.
- Strong written and verbal communication skills with a polished, professional presence.
- Proven ability to manage confidential information with discretion and sound judgment.
- Highly proactive, resourceful, and able to anticipate needs before they arise.
- Comfortable balancing multiple priorities while maintaining accuracy under deadlines.
- Advanced proficiency with Microsoft Office, including Outlook, Excel, Word, PowerPoint, and Teams.
- Experience with Microsoft Dynamics 365 or another ERP system is a plus.
- Associate's or Bachelor's degree preferred, or equivalent professional experience.

This is a full-time, 100% onsite position in the Trumbull, CT area. Candidates must live locally or be able to commute daily.
Salary : $32 - $35
