Front Office Manager / Chiropractic Medical Assistant Lead

Compensation: $70,000 annually

Schedule: Monday–Friday, 8:30 AM–5:30 PM; one day per week may shift to approximately 9:30 AM–6:30 PM when the physician is in office

Patient Volume: Approximately 20–30 patients per day

Team Leadership: Oversees 3 front office staff members

About the Opportunity

We are seeking an upbeat, professional, and highly dependable Front Office Manager / Chiropractic Medical Assistant Lead to help keep our office running smoothly while ensuring every patient receives a positive, organized, and caring experience. This role is ideal for someone who has previously worked as a Medical Assistant and has hands-on chiropractic office experience, especially in a fast-paced Personal Injury environment.

The right candidate will be confident leading a front office team, comfortable supporting patient flow, and capable of balancing administrative leadership with light clinical support duties. We are looking for someone mature, stable, patient-focused, and committed to creating a professional, accountable, and team-oriented office culture.

What We Are Looking For

  • Previous Medical Assistant experience is preferred, especially with hands-on patient care responsibilities.
  • Chiropractic office experience is highly preferred.
  • Personal Injury experience is preferred, including familiarity with attorney communication, patient documentation, and case-related coordination.
  • Minimum 3 years of Front Office Manager, Medical Office Manager, or healthcare office leadership experience.
  • Bilingual English/Spanish is preferred.
  • Demonstrated leadership experience supervising, training, and supporting front office staff.
  • Mature, dependable, professional, and highly responsible with an excellent work ethic.
  • Stable employment history with a pattern of long-term commitment to previous employers.
  • Excellent communication skills and a patient-first approach.
  • Ability to lead by example, maintain accountability, and create a positive team culture.
  • Reliable, punctual, organized, and committed to exceptional patient care and operational excellence.

Key Responsibilities

  • Manage daily front office operations, ensuring the office runs efficiently and patients receive welcoming, professional experience.
  • Supervise, train, schedule, and support a team of 3 front office staff members.
  • Oversee patient scheduling, appointment flow, check-in/check-out, and communication to reduce delays and scheduling conflicts.
  • Verify insurance eligibility, support prior authorization needs, and help ensure accurate patient information and documentation.
  • Coordinate with attorneys on Personal Injury cases, including patient status updates, documentation requests, billing packets, and case-related communication.
  • Prepare and organize documentation and billing information for attorney offices and insurance-related follow-up.
  • Maintain strong communication with the physician regarding the daily patient schedule, insurance eligibility, patient limitations, and case updates.
  • Assist with patient rooming, electronic stimulation setup, ultrasound therapy support, documentation, and room turnover as needed.
  • Coordinate outside imaging and specialist appointments, including X-rays, MRIs, and orthopedic consults, between the patient and outside facility.
  • Review physician dictation for accuracy, spelling, and documentation corrections as needed.
  • Address patient concerns professionally, resolve issues when possible, and promote excellent customer service.
  • Maintain accurate medical records and help ensure compliance with HIPAA, documentation standards, and office policies.
  • Oversee office supplies, front office workflow, EHR/practice management software use, and general administrative processes.
  • Monitor payment collection, front office financial processes, and administrative reporting as assigned.

  • Experience with insurance verification, referrals, prior authorizations, and medical billing workflows.
  • Comfortable using EHR and practice management software.

  • Strong problem-solving, conflict resolution, and accountability skills.
  • Excellent attention to detail, especially with patient documentation and physician dictation review.
  • Ability to support both front office operations and light clinical chiropractic assistant duties when needed.

Qualifications

  • High school diploma or equivalent required.
  • Associate or bachelor’s degree in healthcare administration, business, or a related field preferred.
  • 8 years of experience in a medical office, chiropractic office, or healthcare administration setting preferred.
  • 8 years of supervisory, lead, or management experience preferred.
  • Previous Medical Assistant experience is strongly preferred.
  • Chiropractic and/or Personal Injury experience highly preferred.
