Project Coordinator

Projects rarely fail because nobody made a task list. They fail when ownership, dependencies, and decisions become hard to see.
We are hiring a Project Coordinator for a full-time, on-site role in Philadelphia. You will help turn project plans into visible weekly actions, keep meeting decisions documented, and make sure deadlines do not disappear inside email threads. This is an early-career role with real coordination responsibility rather than a passive note-taking position.
The project system you will help maintain
• Build and update task trackers with owners, due dates, dependencies, and current status.
• Prepare meeting agendas, capture decisions, and turn follow-up points into assigned actions.
• Collect project inputs and documents so the team is working from the latest approved version.
• Follow up on open tasks before deadlines and surface risks early instead of reporting them after the fact.
• Create concise status summaries for internal stakeholders and support straightforward project reporting.
• Help improve recurring templates, trackers, or handoff steps when the same friction appears repeatedly.
What you need on day one
You should be organized, comfortable with spreadsheets and documents, and able to write a clear update without overexplaining it. Experience may come from internships, student organizations, office support, events, healthcare administration, operations, customer service, or any role where several people depended on your follow-through. A specific project-management certification is not required.
How responsibility grows
The first few weeks focus on the team workflow, project tools, document standards, and meeting cadence. Once you are reliable on the basics, the Project Coordinator can own smaller workstreams, prepare more complete status reporting, and coordinate defined cross-team deliverables from kickoff through closeout.
