The Executive Assistant provides high-level administrative and operational support to the Chief Operating Officer, ensuring efficient day-to-day workflow, effective prioritization, and seamless communication across the organization. This role is critical to maintaining operational cadence, supporting leadership effectiveness, and enabling strategic execution in a fast-paced, high-growth healthcare technology environment.
Key Responsibilities Essential Duties
- Own and manage the COO’s calendar, prioritizing time based on evolving business needs and strategic priorities.
- Coordinate complex internal and external meetings, including agenda preparation, logistics, note-taking, and follow-through on action items.
- Triage incoming communications and requests, ensuring timely responses and routing to appropriate stakeholders.
- Draft, edit, and prepare high-quality documents, presentations, and reports for executive and external audiences.
- Process expense reports and manage administrative workflows on behalf of the COO.
- Serve as a key point of contact for direct reports, cross-functional partners, and external stakeholders.
- Coordinate leadership meetings, offsites, and team events to support organizational alignment and engagement.
- Handle sensitive and confidential information with a high degree of discretion and sound judgment.
- Proactively identify needs, anticipate challenges, and implement solutions to keep executive priorities on track.
- Support broader office coordination and administrative activities as needed.
- Provide backup support for other administrative functions during peak periods or absences.
- Assist with special projects and cross-functional initiatives as assigned.
Salary : $70,000 - $90,000
