We are seeking an organized, motivated, and student-centered Administrative Assistant/Attendance Coordinator to join our Middle/High School team. Position Summary
The Administrative Assistant/Attendance Coordinator provides essential administrative support for daily operations and manages attendance processes schoolwide (grades K–12). This position plays a key role in maintaining accurate data, supporting parent engagement, and ensuring compliance with state attendance requirements.
Key Responsibilities
Administrative Support
- Assist the School Principal with required reports and daily operational tasks.
- Support enrollment procedures in collaboration with the Child Accounting & PIMS Coordinator.
- Maintain and update student information in the Sapphire Community Portal.
- Coordinate schoolwide events and Picture Day(s).
- Prepare purchase orders, schedule meetings, assist with parent engagement, and provide translation (English/Spanish) as needed.
- Manage administrative data, school records, and provide receptionist coverage.
- Facilitate communication with stakeholders and assist with general office functions.
Attendance Coordination (K–12)
- Verify and update daily attendance, absences, tardiness, and suspensions (grades 6–12).
- Communicate attendance reports to staff and coordinate classwork distribution for absent students.
- Issue unexcused absence notices, schedule School Attendance Improvement Conferences, and develop School Attendance Improvement Plans.
- Make referrals for truancy, prepare citations, and participate in attendance hearings.
- Coordinate approval of student trip requests and ensure compliance with PA Compulsory Attendance laws.
Qualifications
- Associate’s degree required; Bachelor’s degree preferred.
- Three (3) years of related experience preferred.
- Bilingual (English & Spanish) required.
- Strong computer skills, including data systems and Excel.
- Excellent communication, organizational, and interpersonal skills.
- Ability to exercise sound judgment, maintain confidentiality, and work independently.
Required Clearances & Health Requirements
As a Pennsylvania school employer, RCCS requires the following prior to employment:
- PA Criminal History Record (Act 34)
- PA Child Abuse Clearance (Act 151)
- FBI Criminal Background Check (Act 114)
- Sexual Misconduct/Abuse Disclosure Release (Act 168)
- Negative TB Skin Test, as required by PA School Code
Candidates without current clearances must be willing to pay and obtain them prior to hire.
Work Schedule & Environment
- Full-time, 12-month position
- Monday–Friday, 7:15 AM – 3:45 PM, plus additional hours as needed
- School office environment with occasional movement between buildings
