Senior Operations Manager, Wealth Management
Radnor, PA | Full-Time (Hybrid -3 days in office)
Compensation: $80k-120k plus bonus DOE
Please note: Must have relevant wealth management industry experience
Our client is a growing Registered Investment Advisor (RIA) firm seeking an experienced Senior Operations Manager to oversee day-to-day operations, support advisors, and ensure a high level of client service, efficiency, and compliance. This role plays a key part in scaling the firm, improving processes, and maintaining strong operational and team performance.
Key Responsibilities of the Senior Operations Manager:
Operations & Process Management
- Oversee daily firm operations, including account management, trading support, and client service workflows
- Develop, document, and optimize operational processes and standard operating procedures
- Identify inefficiencies and implement workflow and technology improvements
- Manage custodial relationships (e.g., Schwab, Fidelity, etc.)
- Ensure smooth coordination across advisors, client service, and operations teams
Client Service & Account Administration
- Oversee account opening, transfers, money movements, and maintenance
- Ensure timely and accurate client onboarding and service delivery
- Maintain high service standards for clients
- Oversee CRM data integrity and usage
- Oversee new account paperwork and manage Not-In-Good-Order (NIGO) processes
Retirement Plan (401k) Operations
- Oversee onboarding and ongoing servicing of retirement plans
- Oversee invoicing for 401(k) plans and ensure timely payment processing
- Maintain and update 401(k) files and Evault systems
- Manage Fi360 quarterly monitoring reports and maintain provider system connectivity
- Ensure the 401(k) team meets all service requirements, including APR delivery, education sessions, and meeting documentation
- Liaise with TPAs, recordkeepers, and plan sponsors
- Review commission runs to verify accurate payments to the firm and advisors
- Ensure compliance with plan administration requirements and regulatory standards
Wealth Management Operations
- Run and review weekly cash reports and coordinate with advisors and administrators on required trades
- Maintain strong knowledge of account setup processes and platforms (FSP, UMA, APM, etc.)
- Manage distribution of terminated participant leads to advisors
- Review and approve financial plans for advisors
- Submit and manage quarterly model updates for UMA accounts
Compliance & Risk Management
- Work closely with the Chief Compliance Officer to ensure adherence to SEC and FINRA regulations
- Maintain operational compliance with firm policies and procedures
- Assist with audits, regulatory filings, and documentation
- Monitor and mitigate operational risks
- Ensure team compliance with licensing, continuing education, and regulatory requirements
Technology & Systems
- Manage and optimize key systems (portfolio management, CRM, financial planning tools)
- Lead implementation of new systems or integrations
- Troubleshoot operational technology issues and coordinate with vendors
Team Leadership & Office Management
- Supervise and mentor operations and client service staff
- Monitor team performance and activity, identify gaps, and communicate expectations
- Conduct and support employee evaluations in partnership with leadership
- Collaborate with management to set goals and prepare for team meetings
- Manage team attendance, PTO, and out-of-office approvals
- Approve business development activities, including networking and travel
- Provide weekly activity and performance reports to leadership
- Support overall team accountability and progress toward firm goals
- Oversee third-party vendors and appointment setters, including tracking credits and cancellations
Reporting & Business Support
- Produce operational and business performance reports for leadership
- Assist with budgeting, vendor management, and cost controls
- Support business development initiatives and firm growth
- Track activity, performance metrics, and operational KPIs
Qualifications of the Senior Operations Manager:
- 5 to 10 years of experience in a Registered Investment Advisor (RIA) or wealth management operations
- Strong understanding of investment advisory operations and custodial platforms
- Experience with 401(k) or retirement plan administration preferred
- Knowledge of SEC regulations and compliance frameworks
- Proven ability to manage workflows, systems, and teams
- Strong organizational, analytical, and problem-solving skills
- Excellent communication skills and leadership ability
- Experience with CRM and financial systems (Salesforce, eMoney, etc.) preferred
