Our client is a boutique financial advisory practice that has been guiding clients through retirement, investment, tax, and estate planning for more than 30 years. The firm is known for its high-touch, personalized service and seeks an experienced, professionally polished Client Service Associate / Administrative Assistant to support the key executive administratively and help maintain efficient operations and high service standards of the practice.
Key Responsibilities of the Client Service Associate / Administrative Assistant (Financial Planning firm):
- Serve as first point of contact for clients, prospects, and external partners: manage inbound/outbound communications (phone, email, in-person), ensure timely responses.
- Manage the executive’s calendar: schedule and prioritize meetings, coordinate with clients and team members
- Prepare materials for meetings, send reminders, ensure the logistics (venue/virtual link,) are handled.
- Post-meeting follow-up: transcribe notes/action items; track deliverables and deadlines; ensure tasks are assigned and completed.
- Facilitate travel and event logistics as needed.
- Help streamline practice operations: identify opportunities for improvements in workflow and client service.
- Manage special projects or initiatives as requested
- Ensure the office environment aligns with the high-service standard of the practice
- Maintain and manage confidential client, firm, and personal information with discretion and compliance awareness.
Qualifications of the Client Service Associate / Administrative Assistant (Financial Planning firm):
- Minimum 5–7 years of experience as a CSA / Administrative Assistant or senior administrative support professional with some Wealth Management industry experience at an RIA, broker-dealer, bank or family office is required
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), virtual meeting platforms (Zoom, Teams), and CRM system; ability to quickly learn new technologies and tools
- Exceptional organizational, time-management, and prioritization skills; ability to manage competing priorities while maintaining focus
- Excellent verbal and written communication skills; ability to craft clear, professional correspondence and interact with high-net-worth clients, estate and tax professionals, custodians, etc.
- High degree of discretion with confidential client and firm information; regulatory compliance awareness
- Proactive mindset: identifies issues before they become problems, offers solutions, operates with professional independence
- Strong attention to detail and a commitment to high-quality client service standards
- Comfortable working in a team-oriented, client-centric environment with a senior advisor
- Bachelor's degree preferred (business, communications, finance, or related field)
