Duties
- Assist the sales team with client correspondence, appointment scheduling, and follow-up communications to maximize booking opportunities
- Manage multiple multi-line phone systems, directing calls professionally and promptly to appropriate departments or personnel
- Maintain accurate records of sales activities, client interactions, and booking details using QuickBooks and other office management software
- Support front desk operations by handling guest inquiries, check-ins, check-outs, and providing exceptional customer support
- Organize and file important documents, contracts, and promotional materials with meticulous attention to detail
- Coordinate calendar management for sales meetings, events, and site visits using Google Workspace and Microsoft Office tools
- Perform data entry tasks efficiently while proofreading documents to ensure accuracy and professionalism in all communications
Skills
- Proficiency in QuickBooks for bookkeeping and financial record-keeping
- Strong office management skills combined with clerical experience in a hospitality setting
- Excellent computer literacy with expertise in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Bilingual abilities are highly desirable to serve diverse clientele effectively
- Exceptional organizational skills with the ability to prioritize tasks and manage time efficiently in a busy environment
- Proven experience with front desk operations, multi-line phone systems, and phone etiquette
