SUMMARY:
The Administrative Assistant provides essential office and administrative support for the Early Childhood Programs, including Preschool for All, Expansion, Head Start, Prenatal to Age 3, and Early Head Start. This role serves as the first point of contact for families, staff, and visitors, ensuring a welcoming and professional environment while supporting the daily operations of the program.
KEY RESPONSIBILITIES:
- Provide administrative support for all Early Childhood Programs, including scheduling, document preparation, and recordkeeping.
- Field telephone calls and direct visitors using a “no wrong door” approach to ensure all inquiries are welcomed and addressed appropriately.
- Maintain a friendly and professional demeanor to create a welcoming office environment for families, staff, and partners.
- Monitor and manage office supply inventory, ordering essential supplies as needed.
- Ensure compliance with all State, Federal, and ROE #33 guidelines in a professional manner.
QUALIFICATIONS, KNOWLEDGE, & CRITICAL SKILLS:
- High School Diploma or equivalent required; Associate’s Degree preferred.
- Experience in administrative support, customer service, or office management preferred.
- Strong organizational and time-management skills with the ability to handle multiple priorities.
- Excellent communication and interpersonal skills for working with families, staff, and community partners.
- Proficiency in Google Suite, Microsoft Office, or similar platforms for scheduling, documentation, and communication.
- Ability to maintain confidentiality and follow agency policies and procedures.
