Job Description
We are looking for a detail-oriented and proactive Office Operations and Logistics
Coordinator to manage a variety of logistical and administrative tasks. This role will support
daily operations by coordinating incoming and outgoing shipments, ensuring proper handling
of customs documentation, working closely with customs brokers, and organizing the arrival
and dispatch of goods.
The position will also support general office operations and assist with the implementation
and management of a new office management system designed to streamline logistics,
inventory tracking, and administrative workflows.
This is a full-time, on-site position based in Kansas City, MO.
Minimum Requirements

Essential Job Duties

Operations and Logistics Coordinator, you will:
Container Logistics and Incoming Goods Management:
● Coordinate and manage the logistics of incoming containers, ensuring timely arrival
and accurate documentation.
● Track and monitor shipments to ensure transportation and delivery processes run
smoothly.
● Organize and store incoming goods from overseas, ensuring they are distributed
correctly within the office or warehouse as per internal needs.
● Verify the accuracy of all incoming documentation, including customs documents, bills
of lading, shipping manifests, and domestic delivery receipts.
● Coordinate and manage the logistics of incoming shipments from domestic U.S.
suppliers, ensuring timely arrival and proper handling.
● Track and monitor domestic shipments to confirm accuracy and on-time delivery.
Outgoing Shipments and Documentation Management:
● Coordinate the logistics of outgoing shipments, preparing and verifying all necessary
documentation (commercial invoices, packing lists, shipping labels, bills of lading).
● Monitor the shipment process to ensure timely delivery and resolve any issues that
arise.
● Ensure that all outgoing documentation is accurate, complete, and compliant with
applicable regulations.
● Coordinate with carriers and internal teams to track shipments and confirm delivery
timelines.
Customs Documentation and Broker Coordination:
● Review and verify customs documentation for accuracy and compliance.
● Communicate with customs brokers to facilitate smooth customs clearance and resolve
import/export issues.
● Maintain and organize all customs-related documentation in accordance with
applicable regulations.
Outgoing Goods and Documentation Management:
● Coordinate logistics for outgoing shipments and ensure timely dispatch of goods.
● Prepare and verify shipping documentation including commercial invoices, packing
lists, and shipping labels.
● Ensure all shipping documentation is accurate and compliant with applicable
regulations.
General Office Operations:
● Support day-to-day office operations including filing, correspondence management,
and data entry.
● Assist with scheduling meetings, appointments, and internal coordination activities.
● Maintain office supplies and coordinate ordering when necessary.
● Support administrative activities that contribute to an efficient and organized office
environment.
System Management and Implementation:
● Assist with the setup and management of the company’s new office management
system.
● Track and input operational data to improve logistics and office workflow efficiency.
● Provide support and guidance to team members as the system is implemented and
adopted.
