Position Summary
The Education Services Specialist will ensure high quality workshop experience for Family Expectations participants. This professional will support the assessment, planning and implementation of department specific projects, policies, and practices. The Specialist is responsible for scheduling all part-time staff and will provide daily direction and leadership of Hosts and Communication Coaches.
Essential Job Functions
- Support the assessment, planning, and implementation of projects specific to Family Expectations’ Education Services department.
- Capture program data and maintain reporting tools to assist with measuring impact and outcomes related to agreed upon success metrics and deliverables
- Track and manage data and create various reports
- Support the development and maintenance of processes, policies, and procedures for Family Expectations.
- Develop and maintain a robust staffing schedule, ensuring adequate coverage for all workshops.
- Develop and maintain a master calendar for all workshops and extended activities. Maximize room availability in response to workshop enrollment.
- Assist with initial and ongoing staff training, as directed by Manager
- Complete accurate timecards entries for all part-time departmental staff.
- Coordinate onsite logistics such as greeting participants, serving meals, and managing workshop materials.
- Address or escalate as appropriate any real-time issues or concerns that may arise during workshop delivery.
- Oversee communication strategies to keep participants informed about workshop details and updates. And implement strategies to enhance participant engagement and satisfaction.
- Manage workshop materials, ensuring they are prepared and distributed efficiently.
- Work closely with the Content & Facilitation Manager to integrate content seamlessly into workshop logistics.

Education/Training
- Bachelor’s Degree in a related field or equivalent combination of education and relevant work experience required.
Experience
- Previous experience supporting administrative operations, including calendar management, communication coordination, and process improvement, required.
- Professional knowledge and/or experience with the transition to parenthood, childbirth, and navigating new parenthood, a plus
- Experience tracking, managing, and reporting data using spreadsheets or database systems, required
- Experience providing on-site support in a fast-paced environment, including troubleshooting real-time issues and ensuring a positive participant experience, preferred
Skills, Knowledge, and Abilities
- Proficiency in Microsoft Applications such as Word, Excel, and PowerPoint, required
- Excellent written and oral communication skills and analytical skills, required
- Ability to meet deadlines under pressure and multi-task, coordinating multiple and sometimes competing priorities
- Knowledge of program and project planning
- Excellent attention to detail, accuracy, and organizational skills
- Self-starter with the ability to work independently and with project teams
- Proven interpersonal skill
- Occasional domestic travel, including by air
- Ability to work flexible hours, including evenings and weekends, as needed

Essential Physical Requirements
