Contract Specialist (Temp-to-Hire)
Location: Portland, ME
Pay: $30-$35/hour
Position Type: Temporary to Hire
Schedule: Full-Time, M-F, 8-4:30
We are seeking a detail-oriented and highly organized Contract Specialist to support the administration, maintenance, and coordination of contracts and agreements across a large, complex organization. This role is responsible for managing contract-related documentation, tracking workflows, coordinating approvals, maintaining contract data, and supporting reporting activities.
The ideal candidate will have a background in procurement, contract administration, or vendor management and be comfortable working with multiple stakeholders, systems, and deadlines. This is an excellent opportunity for someone who enjoys process improvement, document management, and ensuring contractual information is accurate and organized.
Key Responsibilities
- Support the full lifecycle administration of contracts and agreements, from initiation through execution and maintenance.
- Coordinate contract workflows, approvals, and document routing.
- Prepare, organize, and maintain contract documentation and records.
- Monitor contract status, key dates, renewals, and compliance requirements.
- Collaborate with internal departments to gather information and ensure timely completion of contract activities.
- Assist with vendor and supplier documentation management.
- Maintain organized electronic and physical contract files.
- Identify opportunities to improve contract management processes and administrative efficiencies.
- Support special projects and other contract-related administrative duties as assigned.
Qualifications
Required
- Bachelor's degree or equivalent combination of education and relevant experience.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Strong written and verbal communication skills.
- Comfort learning and working within databases, contract management systems, and other technology platforms.
Preferred
- 2 years of experience in contract administration, contract management, procurement, purchasing, or vendor management.
- Experience supporting procurement or sourcing activities.
- Familiarity with contract review processes, document control, and compliance tracking.
- Experience generating reports and maintaining data integrity across systems.
- Background supporting facilities-related contracts, maintenance agreements, construction vendors, or property services contracts is a strong plus.
