Distinguished New York City gentleman seeks a skilled and efficient part-time personal assistant. The
assistant is responsible for maintaining the household such as opening physical mail, receiving and
returning amazon orders, filling out paperwork, scanning documents, tech support
(computer/ipad/phone), ordering household items and managing emails.
You will also be working closely and coordinating the virtual Executive Assistant who handles the
finances and assisting accountants with tax filings, scheduling doctors appointments, and coordinates
and schedules wellness appointments and travel itineraries, research projects
The person in this role handles sensitive information, such as accounts and passwords, with discretion.
The person in this role must be able to juggle multiple tasks while maintaining a flexible and creative
approach to solving problems, and be tech savvy and able to teach basic technology skills easily. This
position is part time (20-25 hours/week) and requires in-person work 4-5 days per week in an Upper West Side office. The assistant must be located in Manhattan.
WHAT YOU’LL DO
Personal (50% of time)
● Order items for the home (toiletries, food, wine, household objects)
● Track purchases and returns
● Sell or donate unwanted items
● Research local shops/vendors (hardware stores/barber/framers)
● Research experts and tradespeople for specialized tasks and get estimates for work (e.g. interior
decorators, independent contractors, repairs, cleaners, etc.)
● Research projects (e.g. vendors, family tree, etc.)
● Send packages and log what was sent
● Log incoming packages (tracking info) and follow up if they don’t arrive
● Keep track of upcoming birthdays and order gifts
● Create and send New Year’s cards
Office (25% of time)
● Tech troubleshooting
● Monitor email inbox, flag important emails, and help to ensure prompt replies
● Keep iPhone/iPad/Mac apps and software updated
● Keep desk and files organized (digitally and physically)
● Manage cable/internet/phone
● Collect and open physical mail
● Take photos of items to be sold (Ebay/Louped/Facebook) and send to VEA
Medical (25% of time)
● Schedule and log medical appointments
● Accompany client to appointments and take detailed notes
● Communicate with medical staff and ask clarifying questions on behalf of the family
● Write concise medical summaries after each visit
● Pick up prescriptions and organize weekly medications
● Maintain and update medical files; upload records and test results to digital system
● Monitor prescriptions and coordinate refills as needed
WHAT’S REQUIRED
● Minimum of 5 years of relevant work experience
● Bachelor’s degree in discipline requiring critical thinking, analysis, and writing
● High level of organization and detail orientation; strong ability to take initiative and prioritize
● Experience executing research projects and ability to handle multiple categories of tasks
simultaneously
● Strong interpersonal skills, naturally sociable and personable
● High level of emotional intelligence; can quickly get to know someone and anticipate needs
● Technology savvy with Apple products (Mac/iPad/iPhone), including strong Excel and Word skills
● Experience teaching basic tech skills and possessing the patience required to do that
● Excellent writing skills
● Must meet the highest standards of ethics, personal integrity, and honesty
● Must be a non-smoker
● Must be legally authorized to work in the United States
COMPENSATION
● $40/hour
