Job Summary:
To provide administrative support to the clinical department team
Duties/Responsibilities:
- Assisting providers and back office in completing patient paperwork
- Faxing results and referral notes to other offices
- Scoring and inputting clinical assessment tools
- Creating functional work flows for front and back office
- Running reports, answering emails, making copies
- Review and complete registry reports as needed
- Take messages, create tasks/follow-ups and deliver to the appropriate team members
- Prepare, clean and stock exam rooms and office supplies – Check and pull expired supplies monthly
- Creating patient intake packets for all back office/needed paperwork, including vaccine consents
- Updating back office forms, and creating resources for the back office
- Providing WIC resources and education at the request of provider
- Scrubbing schedules for correct appointment length– checking for procedure appointment times/making sure supplies are available.
- Contacting pharmacies regarding medication stock/supplies
- Pulling and inputting new patient and new baby records (immunizations and vitals)
- Utilizing the computer programs to create resources for the front and back office
- Flexibility floating between the Grand Junction and Fruita office
- Sample management, rotation, and ordering
- Assist with tracking ROAR
- Scanning documents into patient charts
- Inputting, x-printing, and routing faxes
- Closing referral loops
- Acting as liaison between WCP Providers, pharmacies, and other medical offices and schools, PCP centralized support teams
- Checking the statuses of prior authorizations
- Making new baby and new patient welcome bags
- Managing Formula Samples, meeting with Reps (sample/sales reps)
- During downtime Assisting Office Administrative Assistant
- Act as courier for labs specimens
- Schedule, make the agenda, take minutes, and Attend IDTs, and work with staff to prepare for those meetings
- Assisting in the training for new employees
- Scheduling patients for appointments at the direction of the back office or lead
- Pulling information from CIIS and to ensure proper continuation of care
- Delivering mail
- Serving on Task Forces/Committees
- Assisting with Seasonal/Specialty Clinics
- Updating signage
Work Experience:
One - three years’ experience in office setting; familiarity with general office procedures. Experience in health care setting is advantageous. Knowledge of medical terminology preferred.
Education Requirements:
High school diploma required.
General Requirements:
Excellent word processing, spreadsheet, database, spelling, grammar and writing skills; excellent organization and computer skills. Must be personable, and able to interact with a wide variety of people and personalities. This would include having a pleasant voice and customer service skills. You must also be able to sit or stand for long periods of time.
Position Type/Expected Hours of Work:
This is a full-time position at 40 hours a week. Works primarily Monday through Friday rotations of 8 a.m. – to 5 p.m. with an hour lunch. Expected hours of work may change at any time with or without notice.
