Position Overview

We are seeking a detail-oriented and service-driven Onboarding Specialist to support candidates through the onboarding process from start to finish. This role is ideal for someone who thrives in a fast-paced environment, enjoys helping others, and has strong compliance and administrative experience.

Key Responsibilities

Onboarding & Administrative Support:

• Assist candidates with completing onboarding forms and documentation
• Run and track required screenings (background checks, drug screens, MVR)
• Complete and review I-9 forms accurately
• Conduct virtual I-9 verifications via video call
• Coordinate with authorized representatives for Section 2 completion

Communication & Candidate Support:

• Guide candidates through onboarding steps with professionalism and clarity
• Provide friendly, high-level customer service
• Clearly explain detailed instructions in a supportive way

Technology & Systems:

• Utilize ATS platforms (Workday, iCIMS, Greenhouse, Paradox, or similar)
• Manage background screening systems
• Process I-9/E-Verify documentation using digital platforms
• Use Microsoft Teams or Zoom for virtual meetings
• Work efficiently within Microsoft Office (Outlook, Excel, SharePoint)

Qualifications

• Experience managing high volumes of candidates
• Strong attention to detail and compliance accuracy
• Ability to track deadlines, screenings, and follow-ups
• Comfortable working independently
• Professional, dependable, and able to handle sensitive information

• Resume is required to be considered
• Must pass a 7-year background check
• No felony convictions within the last 7 years
