We are seeking a highly proactive, detail-oriented Executive Assistant to support the CEO of a growing oilfield services company. This individual will act as a true right-hand partner—owning calendar management, coordinating logistics, and ensuring the CEO stays organized, prepared, and focused on high-impact priorities.
This role requires a go-getter mentality, strong judgment, and the ability to operate with urgency, discretion, and minimal direction.
What You’ll Do:
Own the CEO’s calendar
- Schedule, coordinate, and prioritize meetings across internal and external stakeholders
- Manage shifting priorities and protect time for key initiatives
Coordinate meetings & communication
- Set up Microsoft Teams meetings and send invites
- Prepare agendas, track action items, and follow up as needed
Manage travel & logistics
- Book flights, hotels, rental cars, and itineraries
- Ensure seamless travel experiences and adjust plans in real time when needed
Support personal & business activities
- Assist with personal calendar coordination and scheduling
- Handle miscellaneous requests, errands, and time-sensitive tasks
Expense tracking & administrative support
- Track expenses, receipts, and reimbursements
- Assist with basic reporting and documentation
Be a gatekeeper & problem solver
- Anticipate needs before they arise
- Prioritize requests and manage competing demands with professionalism
What We’re Looking For
- 3 years of administrative experience, ideally supporting a CEO, executive, or senior leader
- Strong organizational and time management skills
- Ability to operate in a fast-paced, high-demand environment
- High level of discretion and professionalism
- Excellent communication skills (written and verbal)
- Proficiency with Microsoft Office Suite, especially Outlook and Teams
- Resourceful, adaptable, and solution-oriented mindset
