We are a growing full-service insulation company seeking a reliable, organized Office Administrator to manage daily office operations and support our field and management teams. This position plays a key role in keeping projects organized, customers informed, and the office running efficiently.

The ideal candidate is detail-oriented, dependable, able to multitask, and comfortable working in a fast-paced construction environment.

Key Responsibilities

  • Answer and manage incoming phone calls, emails, and customer inquiries
  • Schedule estimates, installations, inspections, and follow-up appointments
  • Communicate with customers, sales staff, and field crews
  • Create, organize, and maintain job files, contracts, and documentation
  • Prepare invoices, collect payments, and assist with basic bookkeeping
  • Track work orders, job statuses, and project timelines
  • Coordinate materials, deliveries, and subcontractors as needed
  • Maintain customer records in CRM or job management software
  • Assist with payroll support, time tracking, and employee records
  • Order office supplies and maintain general office organization
  • Support management with reports, data entry, and administrative tasks
  • Ensure professionalism and adherence to company procedures

Qualifications & Skills

  • Previous experience in office administration (construction or trades preferred)
  • Bilingual (English/Spanish) is a plus, not required
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Comfortable using computers and office software (QuickBooks, CRM, Excel a plus)
  • Ability to multitask and prioritize tasks effectively
  • Professional, dependable, and customer-service oriented
  • Strong attention to detail and problem-solving skills
