We are a growing full-service insulation company seeking a reliable, organized Office Administrator to manage daily office operations and support our field and management teams. This position plays a key role in keeping projects organized, customers informed, and the office running efficiently.
The ideal candidate is detail-oriented, dependable, able to multitask, and comfortable working in a fast-paced construction environment.
Key Responsibilities
- Answer and manage incoming phone calls, emails, and customer inquiries
- Schedule estimates, installations, inspections, and follow-up appointments
- Communicate with customers, sales staff, and field crews
- Create, organize, and maintain job files, contracts, and documentation
- Prepare invoices, collect payments, and assist with basic bookkeeping
- Track work orders, job statuses, and project timelines
- Coordinate materials, deliveries, and subcontractors as needed
- Maintain customer records in CRM or job management software
- Assist with payroll support, time tracking, and employee records
- Order office supplies and maintain general office organization
- Support management with reports, data entry, and administrative tasks
- Ensure professionalism and adherence to company procedures
Qualifications & Skills
- Previous experience in office administration (construction or trades preferred)
- Bilingual (English/Spanish) is a plus, not required
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Comfortable using computers and office software (QuickBooks, CRM, Excel a plus)
- Ability to multitask and prioritize tasks effectively
- Professional, dependable, and customer-service oriented
- Strong attention to detail and problem-solving skills
