Our client, a leading freight forwarding company in Wood Dale, IL is seeking an organized, detail-oriented Air & Ocean Export Coordinator to join their team. This hybrid position supports both air and ocean export operations, ensuring smooth end-to-end shipment coordination, regulatory compliance, and top-tier customer service.

Key Responsibilities
- Coordinate and manage all phases of air and ocean export shipments from booking to final delivery.
- Prepare and process export documentation including commercial invoices, packing lists, Shipper’s Letters of Instruction (SLIs), AES filings, air waybills, and ocean bills of lading.
- Schedule cargo with carriers, airlines, and co-loaders, ensuring timely and cost-effective movement.
- Track and trace shipments, providing proactive updates to clients and internal teams.
- Ensure adherence to all applicable export regulations, including U.S. Customs, TSA, and export control requirements.
- Maintain accurate records and documentation for audits and compliance checks.
- Coordinate with Customs Brokers when necessary to support clearance processes.
- Serve as the primary point of contact for export clients, providing exceptional service and timely responses.
- Communicate with overseas agents, carriers, truckers, and warehouse teams to resolve issues and ensure seamless operations.
- Attend to rate requests, quote customers, and support account maintenance activities.
- Collaborate with internal departments including sales, operations, and accounting.
Qualifications
- 2 years of experience in freight forwarding export operations (air and/or ocean required; both preferred).
- Strong knowledge of export documentation and U.S. compliance requirements (AES, TSA, ITN, etc.).
- Experience working with freight forwarding systems (CargoWise, Magaya, or similar).
- Excellent communication, multitasking, and problem-solving skills.
- Ability to manage time-sensitive tasks with strong attention to detail.
- Proficiency in MS Office Suite (Excel, Outlook, Word).
